TEAM SUMMARY
The Development team is responsible for generating contributed revenue, building, and sustaining relationships with individual, corporate, foundation, and government donors to generate the funds necessary to support Americans for the Arts’ work. Development team members partner closely with program staff throughout the organization as well as volunteer solicitors, including board members and other donors, on the fundraising effort. Overall, Development team responsibilities include strategy development; prospect research and identification; relationship building; volunteer management; proposal and report preparation; gift processing and acknowledgement; donor benefit fulfillment; and donor stewardship.
The Development team raises both unrestricted and restricted revenue and is situated within the Relationship Development Group which garners contributed and earned income. This work encompasses individual donors, both those making unrestricted gifts to the Annual Fund as well as individual major gift donors to restricted programs, and institutional giving with corporations, foundations, family foundations, and government donors focused primarily on generating restricted revenue.
POSITION SUMMARY
The Development Coordinator supports a wide variety of activities and administrative functions related to Americans for the Arts’ development effort. The coordinator works closely with the Relationship Development Group and the Database team to ensure timely processing and acknowledgment of all contributions and to maintain all standing development queries and mailing lists in the database. The coordinator will be a power user of the organizational database CRM.
The coordinator drafts correspondence, including gift acknowledgments, interim/final progress reports for funders, and stewardship pieces; maintains donor records (hard and electronic); coordinates donor benefit fulfillment; responds to donor inquiries; and helps with small-scale event planning, execution, and follow-up. This position requires the handling of sensitive information that must remain confidential. Discretion is essential.
The coordinator also collaborates closely with the Strategic Communications and Innovation team to help maintain the development sections of the organizational website and to prepare donor-specific content for social media channels and online/print publications.
This position may be assigned other projects and may also represent Americans for the Arts at functions, where appropriate. Some travel and evening work may be required. Americans for the Arts is based in Washington, DC, and requires a minimum of 1-day per week in office.
KEY DUTIES AND RESPONSIBILITIES
Key duties and responsibilities include, but are not limited to:
Prepare gift acknowledgment letters and gift processing for individual gifts; lead responsibility for management of the low-dollar annual fund gift acknowledgment process, including online donation processing, acknowledgment, and reporting.
Process corporate, foundation, and government gifts; draft acknowledgment letters and other related correspondence; and coordinate gift receipting.
Maintain donor files in print and electronically.
Update and maintain development database records, inputting contact reports, management-related notes, and other information relevant to gift processing and benefit fulfillment into the database.
Develop and write standard operating procedures for gift processing in new database (NimbleUser)
Prepare fundraising reports as required
Help to coordinate production and mailing of annual appeals and stewardship correspondence associated with fundraising events as well as the Annual Fund, National Patrons Council, and Corporate Annual Fund programs.
Coordinate all incoming donation payments, including monitoring all online giving mechanisms and coordinating with the Finance team on lockbox payments.
Serve as a customer service representative for the Development Team, including monitoring the development email inbox and phone lines and responding promptly to donor requests.
Coordinate donor stewardship efforts, including monthly email newsletters, postcard mailing, and donor events.
Support operations for the Development team, including scheduling monthly team meetings and maintaining the development section of the Americans for the Arts website.
Produce Board giving records and Board Annual Fund appeals and serve as liaison to Membership and Arts Action Fund teams in maintaining Board giving profiles.
Preserve all confidential information pertaining to organizational relationships.
Assist with other duties as requested by the Relationship Development Group.
QUALIFICATIONS
Development experience in a not-for-profit environment or commensurate administrative experience is required
Experience with Salesforce, Nimble AMS, or other CRM database systems required; familiarity with content management systems (i.e., Drupal) and online giving platforms (i.e., Salsa) a plus
Exceptional written and verbal communication skills
Strong organizational skills, attention to detail, and the ability to handle multiple projects simultaneously are imperative
Dedication to customer service and excellent relationship management skills, including maintaining the integrity of confidential information pertaining to donors, organizational partners, and grant agreements
Highly proficient with Word, and Excel, including formatting and formulas, Adobe experience preferred
Ability to work independently with minimal supervision

WORKING CONDITIONS
This position works 37.5 hours per week Monday through Friday around core business hours (10:00 am – 4:00 pm ET)

COMPENSATION
$55,000 – $65,000
