Anglo American Hiring For Specialist – Sales Operations (2 years fixed term contract) at Singapore Full Time

What you’ll do

To provide continuity of Sales Operations services for a portfolio of equity and trade customers in line with company compliance and risk policies, during the Energy Solutions Transition. Managing customer and supplier relationships, cashflows and debtor days with timely and accurate document/invoice issuance for prompt payment. Having detailed knowledge and experience of laytime, and finance instruments such as Letters of Credit and bid bonds.  Working within and in support of our governance/compliance and UK Corporate Reform (UKCR) framework.

Key tasks

Contract Operations

• Execute the end-to-end operation of sales / purchase contracts – including but not limited to Vessel Nomination, Documentary Instructions, checking accuracy of Documents, Invoicing, Payments and LC presentations.  
• Accurate and timely data capture in the system of record (currently Aspect)
• Payments to suppliers of goods and services
• Liaising with Book Owner/Suppliers/Customers to maintain the shipping schedule in line with the plan.

Trade Finance

• Pivotal in achieving receipt of workable Export LC’s from Buyers in line with the contract terms.
• Liaising with Relationship banks to ensure prompt workability checks are performed, and that confirmation/advising is in place in line with company policy.
• Liaison with Front Office, Treasury, Suppliers to open Import LC’s, Bid Bonds, Performance Bonds, as required and to manage credit lines.
• Participate in documents to cash initiatives, such as discounting
• Accurate data entry for LCs is critical to manage price fluctuations, and also for accurate capture of LC costs in Aspect.
• LC cost capture for accurate fund allocation against the trade.

Customer/Supplier Services

• Facilitate and coordinate customers and suppliers’ claims / queries to ensure speedy resolution.
• Prompt/accurate processing of Payments to Suppliers of goods/services, ensuring correct bank details are entered in Aspect/CMAT system, and accurate invoicing posting for payment. 

Group Governance and Risk Management

• Execute sales operations activities in alignment with Group Business Integrity and Governance policies including new project requirements as they come into effect (i.e. UKCR)
• Escalate and communicate any contract compliance discrepancies, logistics and other risk areas to the Manager Sales Operations.
• Maintain accurate records within the Trade systems and ensure full compliance is met.
• Ensure compliance with Team Key Performance Indicators. (KPI’s)

Process Improvement

• Support continuous review of processes to identify opportunities that will help maximise value.
• Support Company Policies in relation to UKCR, Beyond Finance and any other business process improvement project impacting on Sales Ops, as required.
• Support the implementation of key optimization projects to maximize value for the Marketing BU

What we’re looking for

• Relevant experience in contract law and / or contract management in supply chain or other commercial discipline
• Experience in the logistics and supply chain management of commodities
• Transactional or operational knowledge of detailed product specification, delivery terms (such as laycans, demurrage penalties, etc.) or documentation requirements (bills of lading or payment requirements based on documents).  
• Knowledge of port and shipping logistics operations (desirable)   
• Understanding of risks to permitting elements in potential deals that differ across jurisdictions and countries (political/jurisdictional risks). 
• Understanding of theories and principles of international commodity marketing and sales
• Strong numerical, analytical skills and attention to detail 
• Microsoft Office – intermediate level  
• Excellent planning and organization skills and the ability to manage competing priorities and multiple stakeholders
• An ability to work on own initiative and self-motivate
• Ability to work with individuals from a variety of backgrounds
• Excellent problem-solving skills
