Paralegal / License Specialist

Apex Systems, the Nation’s 2nd largest Technical Staffing and Services
Firm, has an opening for a Paralegal / License Specialist at a global
leader in retail pharmacy for a 6-month contract with the opportunity
for extension or conversion.

Work Environment:

• Hybrid out of Deerfield

   

Responsibilities:

• Process Management:

  • Research applicable rules and regulations within each state,
    county and local licensing jurisdiction affecting the operations
    of company units and facilities
  • Review applicable jurisdictions rules, regulations, and business
    practices to accurately complete the license applications for
    the different business units.
  • Timely completion and submission of initial or renewal
    applications of Pharmacy, DEA, Business and other licenses
    required for the operation of the business.
  • Updates / maintains License Automation database as well as
    checklists as tasks are performed.
  • Participate in all meetings required for the performance of
    assigned tasks. Document processes, own assigned tasks and
    respond to any inquiries made at such meetings.

• Client Relationship Management:

  • Assist Team Lead, various business units, and other corporate
    departments to understand specific business requirements and to
    ensure the requirements are met.
  • Assist other License Specialists with the completion of initial
    or renewal applications as needed.
  • Interface with licensing jurisdictions to obtain licensing
    requirements and ensure compliance with applicable regulations.
  • Reach out to Team Lead or Senior Manager for clarification on
    jurisdiction requirements that may be unclear.

• Compliance and Audit Management:

  • Apply company policies and procedures and SOX-related compliance
    policies.
  • Support internal and external audits
  • Adhere to jurisdiction regulations regarding the initial
    application and/or the renewal of licenses to operate the
    business units.

Top Must-Have Skills:

• Experience providing customer service to internal and external
  customers, including meeting quality standards for services, and
  evaluation of customer satisfaction.
• Experience with analyzing and reporting data in order to identify
  issues, trends, or exceptions to drive improvement of results and
  find solutions.
• Intermediate level skill in Microsoft Excel (for example: using
  AVERAGE function, merging and centering cells, printing centered
  page and/or creating a pivot table).
• Experience communicating both verbally (on phone, one-on-one) and in
  writing (emails, letters) to various audiences (work group, team,
  company management, external licensing agencies).

Top Nice-to-Have Skills:

• At least 2 years of experience with business licenses and
  regulations, including preparations and processing of license
  applications for all states.
• Experience with pharmacy, adult beverage, and tobacco licenses is
  ideal.
• Paralegal and/or licensing background
• Detail oriented and highly organized
• Self-driven with strong problem-solving skills
• Strong computer skills: knowledge of Microsoft Office (i.d. Outlook,
  Teams, Excel and Word)
• Quick learner and a team player
• Ability to multi-task and adjust to a fast-paced environment
• Paralegal certification ideal

Education Requirements:

• 2+ years of experience as paralegal
