Position Summary:

The Administrative Assistant/Receptionist position is accountable for assisting with all Headquarters needs, assisting with Evaluation Support activities, answering and triaging phone calls, as well as overseeing the reception area at Headquarters.

Essential Duties and Responsibilities:

We are seeking a detailed-oriented individual who will report to the Office Manager. We are looking for someone who:

• Support various departments with administrative functions
• Is accountable for the reception area of the headquarters office from 8 am – 4:30 pm (Monday – Friday)
• Assist with the ordering and inventory of supplies.
• Answer phones and help visitors with their needs.
• Schedule appointments and maintains calendars
• Collate and distribute physical and electronic mail
• Assist with organizing and uploading records
• Assist with the upkeep and needs for HQ office
• Handle time-sensitive material and prioritizes tasks
• Communicate with all departments on urgent events or updates
• Assist the operations team with special projects

Qualifications:

• High school education/GED or equivalent
• Bilingual (English and Spanish Preferred)
• Proficient in Microsoft Word, Excel and Google Drive/suite.
• Strong communication and problem-solving skills

• Organized with great time management skills and can multi-task at various levels.
• Has a positive attitude, self-starter, and is solution-driven.
• Is able to manage time to prioritize and complete a wide variety of tasks throughout the day.
• Has the patience and listening skills to respond appropriate and interact positively with upset customers (internal and external)
• Excellent organizational skills and attention to detail
