Job Description
As the Administrative Assistant, you will coordinate a variety of activities and provide support to the Executive Assistant of the Chief Product Officer as well as the senior leadership team of the Product department (including Design, Innovation, Product Development, etc.).
The Role:
Provide administrative support to the senior leadership in the department including calendar management, arrange international and domestic travel, and expense reporting
Coordinate logistics of meetings and events
Assist in preparing and maintaining meeting materials, business presentations and other department files
Prepare and submit purchase orders and vendor set-up
Work closely with the Executive Assistant on various department projects and team events
Provide backup for Executive Assistant as needed
Review documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
Prepare and review presentations
Present a positive and professional image to all visitors, suppliers, vendors, etc.
Any additional duties as assigned
About You:
Post-secondary degree is a bonus
3-5+ years of administrative experience
Ability to work in a highly dynamic and fast paced environment with a high degree of change;
Able to work efficiently under pressure and prioritize tasks
Exceptional attention to detail and committed to a high degree of accuracy
Ability to organize moderate amounts of business information and develop it into cohesive, professional reports and presentations
A team player with a positive attitude – ability to work independently and as part of a team
A clear and succinct communicator (verbal and written); excellent listening skills
Ability to think proactively, critically and independently; good at problem-solving
Understand and maintain a high level of confidentiality
Strong technical ability (Teams, Word, Excel, PowerPoint, Outlook and other virtual platforms)
Excellent time-management skills
