Intake Coordinator

Job Summary

We’re looking for an enthusiastic, goal oriented, extrovert intake coordinator. The ideal candidate has experience in an administrative and sales role. We are seeking someone who values living with integrity, shows commitment to their responsibilities and will be excited to help our company grow and to grow with us.

Responsibilities

BIG GOAL: Make sure leads convert to clients whenever possible and offer a superior customer service experience for every single person that calls.

• Answer phones and emails.
• Manage faxes.
• Provide superior customer service.
• Manage placement of new clients within our practice.
• Maintain awareness of staff specialties and availability.
• Maintain accurate website information on staff.
• Manage clinical records requests.
• Work with invoices and bookkeeping tasks as needed.
• Keep meaningful intake statistics.
• Be the first and main point of contact for inquiries and concerns from new and existing clients, therapists, administrative staff, and third parties.
• Complete new referral intakes and book appointments.
• Lead office management including day-to-day operations.
• Follow our office policies and high standards.
• Communicate with third-party vendors, contractors, service providers and customers as a representative of our organization.
• Perform additional human resources and office administration duties as needed.
• Maintain and handle personal health information in a confidential way and in accordance with provincial regulations.

Qualifications

• High school diploma or equivalent.
• Minimum three (3) years medical office experience.
• Healthcare background is strongly desired.
• Ability to work in-person in Thornhill.
• Excellent communication, time management, problem-solving, and interpersonal skills.
• Sales experience is an asset.
• Must be proficient with Google worksheets and using project management systems.
• Experience with administrative tasks
