This position is responsible for providing administrative support to the school. As the first person students, faculty, staff and parents often see and turn to when they have a question, it’s important that you are a solutions oriented problem solver, a quick thinker and that you are able to maintain a cheerful disposition while engaging each constituency. This is a year-round (12 month) position with health, retirement and paid vacation benefits.

Responsibilities

Reception

• Greet students and visitors warmly and professionally
• Maintain an organized, welcome front reception area, including lost and found
• Provide front-line security and utilize the visitor management systems and sign in process
• Accept and organize packages
• Be the point person for assisting all CDS contingencies, students, families, and staff with a variety of needs
• Collaborate with Front Desk team to divide up tasks and share workload

Communication Hub

• Answer phones and direct calls
• Collect and distribute mail
• Facilitate communications between school and home
• Support communication systems across multiple buildings and many teams

Data Entry

• Support attendance tracking in extended day
• Track student accident and illness reports
• Support faculty with class lists and database needs
• Collect receipts from LS and ECP faculty to organize and code for the business office

Administrative Assistance

• Assist in the coordination of CDS events – including table, tech, food set up, arranging and communicating childcare, and various other needs
• Coordinate student photos schedule
• Stock coffee and other food-related supplies (cups, plates, etc)
• Inspect, clean, and re-stock supply closets
• Weekly/monthly Staples supplies orders as needed
• Assist with annual summer ordering of teacher and bulk supplies
• Administer and maintain classroom first aid and kits as needed
• Coordinate classroom field trips and parent driver approval process
• Assist in ensuring students get lunches ordered by their families
• Support the extended program systems, routines, and expectations of students in the afternoons and during dismissal
• Support the beginning of the school year with a variety of preparations across campus
• Support campus division directors with scheduling and coordinating events and meetings

Experience and Qualifications

• Excellent interpersonal skills
• Ability to interact professionally with diverse staff, parents, alumni, and students
• Must be able to work with highly confidential information
• Flexibility with a cheerful disposition
• Solutions oriented problem-solving skills and the ability to support others in solving problems quickly and effectively
• Strong computer skills and proficiency with Google Suite and various platforms
• Organizational skills and the ability to multi-task at a high level
• Able to work occasional nights and weekends for special events

Schedule

Monday – Friday, 9:00 AM to 6:00 PM

Compensation

Salary will be based on qualifications and experience. Excellent benefits are offered including medical, dental and vision insurance and a retirement plan.

Salary Range: $25.17 per hour to $26.60 per hour
