The Executive Assistant provides advanced administrative support to a Vice President. Significant time will be spent performing high level administrative tasks, including managing special projects assigned by VP; planning/coordinating large events; and managing calendars, meetings or conferences. Candidate also has responsibility for coordinating some procurement and accounts payable processes, as well as expense reporting and travel management. Support is expected in budget preparation, tracking and communicating pertinent information to internal stakeholders, as well as editing and composing correspondence suitable for multiple employee groups. This kind of work requires initiative, organization, sound judgment, confidentiality, and collaboration, as well as knowledge of department and company policies and procedures and vision and goals of the business unit. The successful candidate will become an invaluable member of the team participating in staff meetings and building a strong network in a matrixed environment. This role will require national travel dependent on business need, up to 20% of the time.

Works on special projects as assigned by VP.

Manages department budget, invoices, procurement processes.

Manipulates data and prepares reports using spreadsheets and PowerPoint. Prepares PPT presentations.

Performs administrative functions such as composing communication for VP, fielding calls, copies, printing, etc.

Coordinates calendar, travel arrangements, and expense reports.

Assists with preparation of materials for meetings, presentations, or conferences.

Job Requirements

High school diploma or equivalent

4-6 years of relevant experience

Strong organizational and time management skills

Excellent written and oral communication skills essential for professional phone and personal contacts

Advanced proficiency in Microsoft Word, Excel and PowerPoint

Proficient with internet and email systems

If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.

For this position, we anticipate offering an hourly rate of 30 – 45 USD / hourly, depending on relevant factors, including experience and geographic location.

This role is also anticipated to be eligible to participate in an annual bonus plan.
