The City of Monroe, Ohio is seeking applications for the position of Administrative Assistant in the Public Works Department. This position will primarily support the Engineering Division of the Public Works Department; however, this position will also support all other division in the Department such as Parks, Streets, Cemeteries, Facilities, Water and Storm. The position is responsible for answering phones, greeting visitors, providing general information, processing of incoming and outgoing mail, supply inventory, service requests, work orders, processing right of way permits, filing, processing invoices and other duties. The ideal candidate must possess a positive attitude, strong interpersonal skills, strong written and oral communication skills, excellent organizational skills and enjoy working in a team environment with a focus on providing exceptional internal and external customer service.
Qualifications: Completion of secondary education or equivalent (high school diploma or GED); or any equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities. Candidate must possess strong computer skills. Must be bondable.
Salary range: $44,436.38 – $62,210.93. The City of Monroe offers a comprehensive benefit package including medical, dental, vision, life, and disability insurance, as well as vacation, sick and personal time.

Answers phones and greets visitors, guests and the general public; provides general information, resolves issues, takes messages or refers party to appropriate staff; prioritizes and facilitates communication; determines communication that requires priority attention; creates service requests; dispatches and schedules service appointments and monitors work orders; provides reports and updates to local energy carriers on service delivery issues.
Receives, opens, reviews, and distributes incoming mail, and processes outgoing mail; types letters, memos, reports, and other correspondence, and enters data in computer or spreadsheets; tracks leave requests and maintains work schedules.
Processes meter tap quotes; researches utility billing information; compiles bid packages and maintains project files.
Maintains supply inventory and reorders to replenish stock; enters supply requisitions and purchase orders, tracks orders, and follows-up on delayed or missing items; monitors invoices; processes budget transfers; codes P-Card purchases for Public Works employees.
Maintains burial files and updates data as required; meets with cemetery lot purchasers or pre-need opening/closing requests; processes cemetery lot deeds, and records and processes sales; coordinates burial activities with funeral homes.
Receives, processes, and records right-of-way permit applications and maintains files; receives, processes, records, and tracks right-of-way permits; processes and records revenue received.
Attends Park Board meetings, prepares agenda and takes minutes; schedules shelter reservations, receives deposits and processes deposit refunds; tracks all park events such as movies, disc golf tournament, holiday activities, etc.; coordinates events with vendors on insurance and utilization agreements; maintains message board and work schedule, posts new information or updates, and creates service requests as necessary to accommodate changes.
Receives property maintenance complaints and police reports of damage; dispatches personnel to investigate and prepare reports as appropriate; logs and tracks maintenance service requests; prepares invoices; receives, processes, and records revenue obtained; prepares and maintains delinquency list for unpaid property maintenance and outstanding concrete invoices; assists in preparing assessment letters.
Attends meetings and serves on committees, as required; attends various meetings, seminars, and workshops.
Meets all job safety requirements and all applicable OSHA safety standards that pertain to essential functions.
Demonstrates regular and predictable attendance.
