JOB TITLE: Customer Care Receptionist
DEPARTMENT: Personal and Commercial Lines
REPORTS TO: Deanna Darnielle, Owner/Manager
Kaye Duncan, Personal Lines Lead Agent
WORK HOURS: 8:00 to 5:00 Monday through Friday, 1 hour lunch
Summary:
Important position in the insurance agency as this employee answers the phone and greets clients providing a professional, polite and gracious image to our clients or potential customers. The general purpose of the position is to carry out basic office reception duties and assist other employees and agents in providing a variety of services to help them in their daily routine.
Essential Duties and Responsibilities:
Greet incoming customers and direct them according to their specific needs. Answer incoming calls; process walk-in and mailed payments; take quote information over the telephone; assist insurance agents in both standard and non-standard departments to help facilitate an increase and retention in their book of business, i.e. follow-up quote calls, cross-sell letters; comparative rater; enter daily company correspondence in agency management system, i.e. renewals, claim notices, cancellations, reinstatements, etc.; scan documents and attach to client files; monitor agency management system and update client information as needed, i.e. active/inactive status, change of address/telephone, check customer contact and profile; process certain endorsements as directed; collect daily transactional files from agents; process daily outgoing mail; takes photos of properties for agents. Other miscellaneous duties as requested.
Minimum Education Required:
High School Diploma
Continuing Professional Education an Advantage; College an Advantage
Certificates, Licenses, and Registrations Required:
Insurance License not immediately required, but could be an opportunity to advance in the position and the industry.
Specific Personality Traits:
This position is often the first introduction to doing business with this agency. Must be respectful, positive, pleasant, even tempered and diplomatic personality as position deals with wide spectrum of customers. Must be dependable and report to work regularly and on time. Needs to enjoy working with people and manage interruptions during the day without hesitation. Cheerfully understand that when the phone rings or people walk in the door that this is what constitutes a successful business. Desire to learn and enjoyment of reading are important traits in this position.
Knowledge Required:
Telephone skills high priority; proficient in the English language, spelling, grammar, organizational and good judgment skills. Clear, understandable hand writing. Basic insurance terminology, accurate computer skills, accurate math skills to process client payments.

Physical Demands:
Some lifting and sitting for extended periods of time.
