Duffy’s Sports Grill is a full service, sports oriented and dynamic concept where you will find exceptional talent of management who are focused on quality and service.

We are looking for a new Executive Assistant to support one of our shareholders. You will manage mostly business-related tasks for them such as creating reports, organizing travel and accommodations, taking minutes, and other organizational tasks. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.

Executive Assistants are responsible for more than just administrative duties. They also typically filter and prioritize client visits, phone calls, manage the schedules of busy executives and communicate on behalf of the executive they support. Other responsibilities include:

• Providing administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive’s behalf
• Maintaining comprehensive and accurate corporate records, documents and reports
• Performing minor accounting and bookkeeping duties
• Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
• Keeping the CEO well informed of commitments and responsibilities and managing follow-up
• Answering incoming phone calls in a polite and professional manner and accurately taking messages
• Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
• Managing the executive’s day-to-day calendar, including making appointments and prioritizing the most sensitive matters
• Coordinating domestic and international travel, including flight, hotel, and car rental reservations
• create trip itineraries
• Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
• Maintaining a high degree of professionalism in dealing with varied groups of people, including Board members, senior executives, staff, industry leaders, and partners
• Able to maintain a high level of integrity and discretion in handling confidential information

QUALIFICATIONS

• Proven experience supporting C-level executives
• A polished and professional appearance
• Professional demeanor
• English (Required)
• US work authorization (Required)
• In-depth understanding of entire MS Office suite.
• Exceptional organizational skills and impeccable attention to detail
• Ability to work on projects with general direction and minimal guidance
• Must be able to meet deadlines in a fast-paced quickly changing environment.
• A proactive approach to problem-solving with strong decision-making skills.
• Professional level verbal and written communications skills.

EDUCATION and/or EXPERIENCE

Bachelor’s degree required; or one to two years executive assistant or administrative support experience and/or training. Microsoft Suite experience.

Pay: $60,000.00 – $65,000.00 per year
