Typical Hiring Range: $38,900.16 – $46,320.04 Annually
Salary to be commensurate with qualifications
Provides administrative support for Disease Prevention and Epidemiology Program COVID-19 response. Serves as the central point of contact for the COVID-19 program and assists in the day-to-day management of complex administrative functions to ensure program operations flow smoothly. Drafts correspondence, memos, and reports, participates in budgeting or developing complex spreadsheet tracking reports, orders and maintains supplies, updates databases, and schedules clients and staff. Works with a diverse group of community partners, external callers, and visitors as well as internal contacts at all levels of the organization. This position is subject to grant funding.
Performs complex and confidential administrative functions including developing and typing correspondence. Responds to routine correspondence; types memos, reports, and other department forms and documents. Schedules meetings and reserves meeting space as needed, both internally and externally.
Prepares various confidential departmental reports as assigned, utilizing various advanced software programs. Collects information, compiles into standard or non-standard format, prints, proofs, and distributes to appropriate personnel. Coordinates projects as assigned, such as database quality assurance.
Answers telephones, handles calls, routes to appropriate individual, or takes messages. Ensures community partners, customers, vendors, and employees are handled in a professional and courteous manner.
Assists in preparation of budgets, and monitors COVID-19 response budgets; prepares adjustments, purchase requisitions, and payment requests.
Assists with purchases; completes paperwork and accompanying documentation for reconciliation of purchase card (p-card) transactions.
Assists Program Manager, Supervisors and Program Administrative Coordinator with tracking and updating information to include financial and budgetary data.
Makes travel arrangements as requested.
Administers distribution of mail; maintains filing system and program resource library.
Works within Programs and directly with clients as needed; is knowledgeable about COVID response day-to-day activities and processes.
Makes recommendations for process improvements and workflow adjustments within and between programs.
Assists with quality improvement as requested.
Participates in discussions and trainings with others in administrative support roles; participates in departmental emergency planning and response activities.
Promotes public health within the community.
Takes personal responsibility to provide exceptional customer service in order to promote and maintain a positive Public Health image, constructive working environment, and foster pride and professionalism in the workplace and community.
Performs other duties as required.
Qualifications
High school diploma or equivalent education required.
Minimum two (2) years of administrative experience required.
Knowledge and understanding of agency and county policies and procedures.
Ability to efficiently operate standard office equipment, to include a personal computer and various software packages including Microsoft Office.
Ability to write and maintain accurate records and reports to meet management objectives.
Ability to plan, schedule, and organize; skill in prioritizing and organizing multiple tasks and the ability to complete projects in a timely manner.
Ability to communicate, motivate, and organize projects among a broad spectrum of personnel, frequently under deadline pressure.
Must possess a high level of attention to detail; ability to respond in a flexible manner and to reprioritize work as situations change.
Ability to communicate effectively, both verbally and in writing with proper regard for spelling, grammar, and punctuation.
Demonstrates strong analytic and critical thinking skills.
Skill in demonstrating a cooperative, professional attitude to cultivate relationships both within and outside the organization.
Ability to perform under stress and when confronted with persons acting under stress.
Ability to identify results of efforts and problems identified/potential problems and to develop and recommend corrective actions to supervisor.
Ability to maintain the security of sensitive and confidential information.
Ability to work independently and in a team environment.
Maintain regular and punctual attendance.
An equivalent combination of related education and experience may be substituted for the education and experience requirements above.
Must pass conditional post offer background investigation and drug screen.
Work Conditions
Work is primarily performed in an office and/or remote work environment. Public Health employees are responsible for providing proof of vaccinations and/or tuberculosis testing as applicable to the specific position and must provide proof of completion of required vaccinations/testing or proof of initiation within sixty (60) days of hire date.
