Scheduling Coordinator

Job Description:

• To provide office support to the technicians and office staff.
• To ensure every repeat client is cleaned on the day scheduled and or requested
• To ensure absent employees’ jobs are covered
• To ensure every customer scheduling request change and preference is documented and cheerfully accommodated.
• To ensure converted leads are fulfilled and not lost due to a lack of time slots available
• Ensure daily capacity (through aggressive scheduling, juggling, and stretching)
• Work in initial cleans & occasional, last-minute requests.
• Fulfills every job, every day (avoid rescheduling later)

Duties & Responsibilities

• Answer phones
• Assist technicians with questions
• Direct calls to appropriate staff
• Take messages
• Assist with follow up sales calls
• Finding and making spots for new bookings
• Strategic Technician routing
• Take customer calls and accommodate reschedules, specific requests
• Reschedule jobs same day for absent employees, holidays, and staff changes
• Communicate with customers about changes
• Update computer with customer preferences, fee changes, day changes, etc…
• Alert customer when the tech will be late or early
• Optimized every technicians day with availability
• Confirm all unconfirmed appointments
• Follow up with customers via email, phone
• Assist with the sales team by finding open spots for new jobs
• Submit weekly reports to the Office Manager
• Handle (or return-call) all customer questions, inquiries, or complaints timely.
• Arrange re-cleans, and follow-ups if necessary.
• Make recommendations to management regarding trends, changes,
• Document complaints

• Smooth office operations
• Daily capacity met
• Outstanding customer rapport and relations
• Minimal change for the customer
• Optimized schedules for all FT employees (full schedule daily)
• Minimum chaos (forgotten keys, work orders not filled out, unconfirmed jobs etc…)
• High customer satisfaction through communication
• Quality service, customer satisfaction (low cancels, good online reviews)

Minimum Qualifications:

• 2 years of customer service
• Experience preferred
• Computer skills: Familiar with Mac computers, knowledgable with Click Up, Zapiar, Scheduling software (Jobber) database use, email,
• Articulate, friendly good quality voice
• Knowledge of scheduling and dispatching
• Flexible and good under pressure with last-minute schedule changes.

Job Type: Part-time

Pay: $18.00 – $20.00 per hour

Schedule:

• Monday to Friday

Supplemental Pay:

• Bonus pay

Experience:

• Customer service: 2 years (Preferred)
