Summary
The Media Relations team is responsible for the firm’s press strategy, including managing relationships with reporters
around the world. The team is seeking to add a highly motivated administrative assistant. This full-time role will support
several managing directors and vice presidents in the Media Relations team. Previous experience in supporting teams is
preferred, as well as the ability to work well under pressure in a busy and dynamic environment.
RESPONSIBILITIES AND QUALIFICATIONS:
Principal Responsibilities
Provide administrative support to several managing directors and vice presidents
Coordinate senior-level internal/external meetings and conference calls for the team with various constituents,
including reporters
Arrange, confirm and manage detailed calendars for managing directors and vice presidents on the team, with the
ability to prioritize meetings and manage logistics
Handle a high volume of phone calls for the team, including the Press Office line
Maintain detailed calendars and related logistics for the team
Coordinate domestic and international travel when needed
Respond to and follow up on select reporter inquiries and requests
Arrange and maintain workflow for several global processes (multiple time zones) such as press releases, web
updates, materials development
Prepare and process travel and expense reports on a timely basis
Handle a number of vendor-related administrative duties, including but not limited to, processing invoices
Perform general tasks including, but not limited to, preparing correspondence, file organization, data entry, maintaining
contact lists and process documents, archiving and preparing pre-meeting materials for review
Maintain understanding of firm policies, and learn how to use key tools and applications (e.g., expense and vendor
management systems)
Additional projects and duties as they arise
Qualifications
Highest degree of integrity and confidentiality required
Highly organized with utmost attention to detail
Excellent judgment and resourceful
Comfortable liaising with people at all levels, including C-suite executives
Ability to maintain high standards despite pressing deadlines
Excellent multi-tasking, communication (written and verbal) and organizational skills
Ability to work in a team and fast-paced environment a must
Proficient experience with Excel, Outlook, Word and PowerPoint
Enthusiastic – high energy and “can do” approach
