Your day.

In this role, you will perform advanced project work as well as provide day-to-day administrative duties for the hospital President, Vice Presidents and other hospital Directors. As a Senior Executive Assistant, you need to know how to:

• Perform day-to-day support for the Senior Team, including calendaring, meeting preparation, preparing correspondence and other administrative documents for approval, preparation of expense reports, care and scheduling of maintenance of office equipment, ordering and maintaining inventory of office supplies and routing incoming and outgoing mail.
• Handle routine matters without supervision. Based on experience know which matters can be handled independently and which should be referred to others, such as responding to inquiries that require interpretation of hospital/administrative office policy, practices, procedures and guidelines whenever possible to conserve Senior Team’s time. Keep Senior Team members informed of these situations in a timely manner.
• Communicate schedule changes or other pertinent messaging effectively and efficiently, including cell phone and email.
• Coordinate and maintain assigned Senior Team members’ complex calendars by scheduling and confirming daily meetings, commitments, agendas, conferences and travel plans.
• Ensure Senior Team members are prepared for their daily scheduled commitments, including obtaining meeting materials with adequate time for advance review; preparing agendas and meeting materials, reserving and set-up of conference rooms and presentation equipment and ensuring appropriate catering requests are ordered and delivered.
• Successfully prioritize and perform multiple projects, tasks, and assignments while ensuring their effective and timely completion.
• Exercise discretion and good judgment when dealing with matters of a confidential nature.
• Provide assistance, guidance, and direction to visitors, patients, staff and vendors entering the Administration area.

• High School Diploma or equivalent
• Qualified candidate must have five (5) years of executive assistant experience supporting a c-suite / senior level leaders
• Exceptional verbal and written communication skills with the ability to interface with all levels of management, staff and customers
• Ability to multi-task and prioritize frequently changing arrangements.
• Proficiency in editing for English grammar, spelling, style and format.
• Microsoft Office 365, including Outlook, Word, Excel and PowerPoint
