The Ministry of Social Services is looking for a highly skilled, well organized, motivated individual to provide direct support to the Executive Director of Program and Service Design, Disability Programs, the branch Directors, and office management support to the branch.
In this position, you will be responsible for managing the calendars of the Executive Director, the branch Directors and scheduling meetings. You will conduct research, analysis, make requests for information, coordinate the responses and follow up on responses for information. In addition, the position fields, refers, and/or responds to general inquiries, complaints, and/or policy interpretation, including fielding calls from the Office of Disability Issues inquiry line.
The position will be responsible to develop and/or coordinate the development of correspondence, first drafts of complex reports, and/or complete drafts of routine reports. You will review communications, briefing notes, etc., for completeness, appropriate accuracy, grammatical correctness, and compliance with standards. The position will be required to input, edit, retrieve, format, and link file data to accurately create, format and edit material such as tables, forms, presentations, briefing notes/books and reports using advanced word processing functions, presentation, database and spreadsheet software.
Our candidate of choice will have strong organizational skills, and will be able to exercise sound judgment when determining a course of action while maintaining discretion and strict confidentiality. The ability to work independently as well as part of a team is essential to this position.
The successful candidate will have in-depth understanding of office and administrative procedures; coupled with knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Access. The ability to organize and prioritize your workload, independently manage several tasks simultaneously and work under pressure to meet tight deadlines is critical to the success of this position. You will be approachable and respectful when dealing with the public, stakeholders, government organizations and co-workers.
