INTRODUCTION
This position is located in the Department on Disability Services (DDS), Office of the Chief of Staff, Operations Division, Medicaid Waiver Unit. The Department on Disability Services (DDS) is a District of Columbia agency providing community living services and support to District residents with intellectual and developmental disabilities as well as vocational rehabilitation services to District residents with physical, psychological, and developmental disabilities supporting the Person-Centered philosophy that supports positive control and self-direction of clients’ own lives.
This announcement depicts generalized duties and responsibilities required primarily responsible to serve in an administrative support role to a supervisor or manager and/or a Unit. The employee performs all or most of the following.
MAJOR DUTIES
Receives telephone calls to the Office; typically refers caller to an appropriate staff member but may answer basic, routine inquires.
Receives incoming correspondence. Refers correspondence requiring Supervisor’s attention to Supervisor or in the absence of Supervisor to an appropriate staff member. May personally act on basic inquires. May maintain control records on incoming correspondence and action documents and follow up on work in progress to ensure timely reply or action.
Performs administrative, program, and other work to support the Unit and its operations. Applies clerical and administrative procedures, methods, and techniques to support Supervisor and staff.
Maintains Unit records, locates and compiles basic data/information from files for the development of reports. May prepare, receive, review and verify Unit documents. May keep a project calendar and inform staff of deadlines, other important dates, and similar administrative support work.
Receives request(s) for information from other units within DDS; routes the request to the Supervisor or an appropriate staff member; may answer basic requests.
May review correspondence and documents that were prepared for signature of the supervisor for correct format, grammar, punctuation, etc.; coordinates any corrective action with the appropriate individual or office when errors are identified. May create general correspondence pertaining to administrative matters (e.g., letters, memoranda, reports, etc.) from existing formats.
May serve as liaison between the Supervisor and staff providing timely, accurate and current information to staff.
Coordinates the submission of a variety of reports and data (i.e., progress, status and fiscal reports) to ensure fulfillment of established program requirements.
May reconcile reports in an automated data management system, as requested.
May post items on the shared drive. May retrieve/delete items on the shared drive as directed.
Performs other duties as assigned.
QUALIFICATIONS
Applicant must have one (1) year of Specialized Experience at the next lower grade-level. Three (3) years of related work experience that equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position.

District residents who received a high school diploma from the District of Columbia Public Schools or a District public charter school or received a GED or its equivalent from the District of Columbia will receive priority consideration for this entry-level position. Applicants must provide a high school transcript, GED certificate, high school diploma, or other applicable documentation along with verification of District residency before the District government may extend a final offer of employment.
EDUCATION
A high school diploma. An equivalent combination of education and experience required.
WORK EXPERIENCE/KNOWLEDGE REQUIRED
Knowledge DDS and its structure, polices, regulations, and procedures sufficient to correctly direct callers, visitors, and/or clients. Basic knowledge of the District government to refer callers and visitors to a more appropriate agency.
Knowledge of the functions, responsibilities, and objectives of the assigned Unit to effectively assist Supervisor and staff.
Knowledge of grammar, spelling, and punctuation sufficient to draft non-technical correspondence and to correct obvious errors in typed reports, memoranda, correspondence, etc.
Knowledge and skill in the use of general office automation software, practices and procedures including knowledge of DDS and District automated systems to input or retrieve information and/or reserve conference/meeting rooms.
Advanced customer service skills to be able to deal with all visitors to the Unit
Demonstrated ability to communicate effectively both orally and in writing.
Knowledge as would be gained from a High School Diploma and six years of experience three of which should be in an administrative support role.
Collective Bargaining Unit
This position is in the collective bargaining unit represented by local union AFSCME 2401.
