Receptionist – Job Description This is an excellent role for someone who wants to transition into office management or is interested in learning how a clinic is run. We are looking for someone dynamic that could help in different capacities. As our receptionist, you’ll have exposure to most of the clinic’s processes, learn how everything works, and bring in your touch to make all this happen smoothly. Role Responsibilities Office management: * Create a welcoming environment for guests and our team * Manage various vendors to complete office-related tasks and restock supplies/snacks * Work closely with various teams (IT, HR, Finance) to assist with administrative tasks, visitor logistics, and special ordering requests * Keep a list of fix issues and other misc. requests from staff and arrange with the handyman to resolve them or fix any minor problem (like changing bulbs, etc.) * Work with the cleaning company to keep the office clean. Make sure the janitors are paying attention to the details and working with them on special projects when needed (like deep cleans of specific areas). * Keep office snacks organized and complete at all times * Keep office supplies organized and purchase new items staff requests * Help with shared areas: booking rooms, tidiness, maintenance requests Reception: * Pick up phones and direct calls to the party responsible * Receive our clients and make them feel comfortable while waiting for their appointment * Ensure the reception area is clean and organized * Support staff members with fax and mailing requests * Receive and sort mail Clinical support: * Open and close client files * Update client information based on requests from clinicians * Work with the compliance officer to keep our files updated and under compliance
