ESE’s Undergraduate Education Team is responsible for implementing, administering and supporting the department’s education activities, undertaken in line with the College’s Learning and Teaching Strategy.

The overall role of the Admissions Officer is to organise, support and maintain the undergraduate admissions process and recruitment strategy. You will work with the Undergraduate Education Manager and the Undergraduate Admissions Tutor to meet the Department’s targets for the recruitment of high calibre students from the UK and overseas, and provide a high level of customer service to prospective students at every stage of the application process. You will also work with the Liaison and Communications Manager to deliver the Department’s outreach and recruitment strategy.

Due to the nature of the role, the post-holder would ideally work approximately 30 hours a week to cover the peak admissions periods including A-level results in August, but would have most of the summer period off. Remuneration would be spread equally throughout the year, including the summer months.

The post will provide valuable experience for any individuals wishing to make a career in university administration and management.

Duties and responsibilities

• Receiving and checking application forms, ensuring the completeness of data and following up on any incomplete applications with the candidates and the Registry
• Making initial decisions on candidates’ suitability for their chosen programme in line with programme eligibility criteria and advising the Admissions Tutor on such criteria
• Updating candidates’ records throughout the application process using the College’s admissions system and updating the Admissions Tutor & Team on progress of applications.
• Acting as the first point of contact for all enquiries relating to undergraduate admissions by email, telephone and in person. Delivering a high-level of customer service by dealing with prospective student enquiries promptly and professionally, and providing accurate information on all aspects of the admissions process
• Aiding the conversion of applicants by providing information and encouragement to complete the consecutive stages of the recruitment process (e.g. completion of outstanding conditions, registration, etc.)
• Liaising with and supporting the Admissions Tutor, interviewers and the Registry to ensure that applications are handled in a professional and timely manner, and in accordance with College regulations
• Preparing weekly statistical reports on application numbers, offer responses and other trends that are essential to a successful recruitment cycle
• Supporting outreach activity for schools, that supports the Department’s recruitment strategy and the College’s Access and Participation Plan
• Coordinate recruitment events as required such as open days, including recruitment and management of staff and ambassador rota, maintaining equipment checklists for displays and timetables

Essential requirements

To be eligible for this role you should have:

• Administrative work experience in Higher Education or a similar customer-focused sector in previous relevant role(s)

• Experience of providing a responsive, customer-focused service – on the telephone, online or face-to-face
• Experience of prioritising tasks and of managing busy workloads successfully to ensure that deadlines are met
• Proven experience of working both independently and cooperatively as part of a team
• Good IT skills: MS Office (Word, Excel, Access, PowerPoint), email (Outlook) and the ability to learn and use other software packages
