Ingram Barge Company has an opening for a Vessel Documentation Specialist in our Nashville, TN office. In this role, you will be responsible for maintaining the regulatory documentation portfolio for the entire Ingram fleet, and providing limited administrative assistance to legal counsel, when requested. Having a legal background isn’t required, but a strong administrative background is desired. The successful candidate will be an outgoing, organized, and process-oriented person who enjoys the opportunity to create innovative solutions.
What you’ll be doing:
· Apply/renew for Certificates of Documentation for all barges and boats in the Ingram fleet
· Working with STE Team on COI Renewals both for Tank Barges and Tow Boats
· Applying/renewing for FCC licenses for boats and fleets
· Communicating name changes of boats and barges to the appropriate parties (USCG, banks, vendors, etc.), and filing for new documentation (COD/COFR/FCC License)
· Preparing and filing registration for barges with the USCG for travel on the Great Lakes
· Updating Vessel Documentation System (VDOC) with all boat and barge information
· Applying/renewing for COFR for all tank barges, fuel flats and boats (over 300GT)
· Preparing and filing annual COFR submission
· Preparing and filing annual USACE submission
· Creating and activating new barges in VDOC / iLog
· Retiring/scraping barges in VDOC, per M&R
· Attending/conducting internal vessel audits (must be certified auditor) / facility visits
· Maintaining and updating VGP system
· Preparing and filing annual VGP submission
· Uploading documentation into OnBase for syncing with VDOC
· Balancing corporate credit card statement
· Assisting with business documentation management and gathering in response to garnishments and subpoenas
· Booking travel and prepare expense reports
· Uploading documents into Lawtrac
· Supporting department activities with regular and prompt attendance
What we’re looking for:
· Technical or Vocational required
· 2-3 years of experience (doing what)
· Proficiency with MS Office (Word, Excel, Outlook)
· Strong interpersonal skills and proactive organizational skills
· Previous regulatory compliance documentation familiarity or administrative (legal or non-legal) experience would be helpful but not required
Job Type: Full-time
Pay: $70,000.00 – $71,500.00 per year
