JOB SUMMARY

KG&P Strategies is looking to expand our team by adding an Information Management Specialist to support a new information management and document control function. The successful candidate will be responsible for establishing Information Management policies and procedures, serving as a subject matter expert on Information Management within the enterprise, and developing, maintaining, and controlling documents such as Standard Operating Procedures, instructions, process flow documents, project plans, and reports.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

• Develop and maintain Information Management (IM) policies and procedures
• Prepare project plans, including status reports, on the progress of information management project initiatives
• Document company processes/workflows in consultation with stakeholders
• Develop information management policies and guidelines and implement within the organization
• Research, develop, coordinate, and implement information management initiatives to ensure information is protected and accessible
• Create and maintain IM manuals and communication material
• Create, revise, and deliver training programs on information management best practices, and records and information management software
• Provide documentation support to division operations as needed
• Review SOPs, instructions, plans, and reports prior to publishing
• Maintain company document repositories, including managing access and permissions
• Develop and maintain documentation templates
• Facilitate formal release of documents and provide notification to stakeholders
• Maintain document revision control
• Conduct annual documentation audits

KNOWLEDGE, SKILLS, ABILITIES AND QUALFICATIONS

This is a new role in a rapidly growing enterprise. As such, the ideal candidate will be comfortable initiating new projects, establishing new policies and procedures, and working with a wide range of stakeholders to achieve information management objectives.

The ideal candidate will possess the following combination of experience, knowledge, and skills:

• Bachelors in a related field or 7+ years’ experience in document management
• Excellent verbal communication skills to communicate effectively within the organization with stakeholders with differing degrees of information management knowledge.
• Written communications techniques to prepare and present process documentation, reports, policies, and procedures.
• Proven consultation skills to work with internal stakeholders to define information management needs and document processes.
• Proficiency with standard and specialized business software to prepare plans, processes, reports, and presentations (e.g., Microsoft Word, Excel, SharePoint, Visio, etc.).
• Experience maintaining document repositories, including providing version control, managing access, and ensuring confidentiality
• Experience creating and maintaining document templates
• Experience conducting compliance and quality checks for all documents prior to publishing

Job Type: Full-time

Pay: From $90,000.00 per year
