Responsibilities:

• Operate telephone system to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
• Greet persons entering the facility, determine nature and purpose of visit, and direct or escort them to specific destinations.
• Maintain security by following procedures and controlling access (monitor building, issue visitor badges).
• Deal with queries from the public and customers.
• Ensure knowledge of staff movements in and out of organization.
• Provide general administrative and clerical support.
• Receive and sort mail and manage UPS/FedEx deliveries. Consolidate weekly billing.
• Booking Hotels, Flights, Car, Equipment for persons that may be travelling.
• Organization of company functions.
• Organize conferences and meeting room bookings.
• Monitor and maintain office equipment.
• Control inventory relevant to reception area.
• Tidy and maintain the reception area.
• Coordinate meetings, schedule appointments, and provide general clerical support.
• Ensure knowledge of the staff movements in and out of organization.
• Maintain and order office supplies.

Qualifications:

• High School graduate or equivalent experience.
• At least 2 years’ experience working in customer service experience.
• Must possess skill in good oral, written and interpersonal communication, grammar and spelling
• Bilingual Preferable (English / Spanish).

• Must be highly proficient in all Microsoft Office applications (Word, Excel, Power Point) and Outlook.

• Must be extremely proactive, organized and deadline oriented.
• Must be detail-oriented, organized and able to multi-task effectively.
• A team player, who should also be self-motivated and able to work independently
• Customer Service oriented.
• Demonstrates analytical and problem-solving skills.
• On occasion flexibility of time may be required for specific management meetings.

• Exert up to 10 lbs. of force occasionally, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects. Involves sitting most of the time, but may involve walking or standing for brief periods of time.
