BUSINESS OPERATIONS MANAGER

Position Summary

The Business Operations Manager is a full-time, exempt employee responsible for managing/developing financial and operational systems, processes, administration, and internal controls supporting the Legacy Construction + Consulting’s LLC’s (Legacy) mission. The position’s primary goal is to ensure that Legacy’s day-to-day business and financial operations run effectively and efficiently.

Employment Type

Full-time, exempt position with a 40-hour standard work week.

Responsibilities by Function

Financial Operations (Approximately 70%)

Manages financial activities; monitors budget, revenues, expenditures, and financial performance for assigned department/division; prepares the budget for assigned areas and related programs; provides an interpretation of financial policies, accounting principles, etc.; research accounting errors and discrepancies; recommends corrective actions when necessary; and assists with planning for future financial needs.

Bookkeeping and Accounting

• Maintain and manage accounts payable/ receivable (AP/AR) transactions, ensures financial controls, and accounting procedures using QuickBooks software, producing reports as requested.
• Ensure all AP/ AR requests are resolved and communicated in a timely manner to internal and external parties.
• Develop and maintain monthly financial statements
• Reconcile monthly activity log
• Keep financial files organized, up-to-date, and accessible for auditing purposes
• Stay up to date on best practices to recommend and implement improvements to systems

Financial

• Generate quarterly financial and cash flow reports and review monthly financial reports with the Owner and management
• Prepare annual operating revenues and expenditures to support the development of the annual budget
• Assist management/ownership in financial management and reporting activities
• Monitor and manage expenses within the established budget.

internal Operations & Administration (Approximately 30%)

• Maintain internal office systems: phones, computers, cloud-based email & file management system, and physical mail.
• Act as primary liaison with all vendors.
• Support senior leadership with new hire paperwork, including benefits enrollment.
• Maintain vendor relations and seek out cost-effective and values-aligned alternatives.
• Drive company initiatives that contribute to long-term operational excellence.
• Maintain archival and administrative files, equipment & supplies inventory, and office supplies.

Job Duties may include other tasks as appropriate

Required Qualifications

• A minimum of an Associate’s degree in business, accounting, finance, or a related field.
• A minimum of one year of experience in project and/or financial management experience.
• A minimum of one year of experience in financial management, accounting, bookkeeping, or a related area.
• Demonstrated initiative and ability to create and execute a plan that meets goals & objectives, devise and implement systems, and evaluate and improve based on feedback.
• Detailed-oriented systems thinker passionate about accuracy, organizational systems, and data integrity.
• Excellent computer skills with proficiency in Microsoft Excel and financial reporting systems.
• Strong interpersonal communication skills, including active listening, receiving and giving feedback, and communicating across teams.
• Open to direction and collaborative work style and commitment to achieving results.
• Ability to connect with people from a wide array of backgrounds and identities.
• Ability to learn quickly, take initiative, effectively solve problems, and work well under pressure.
• Willingness to work as a team on a variety of tasks.

Pay: $19.23 – $28.85 per hour
