The law firm of Marshall Dennehey Warner Coleman & Goggin seeks a full time PIP Scheduling Clerk. This position will have the ability to work out of one of our following offices:

  • New York, NY
  • Melville, NY
  • Roseland, NJ
  • Mt. Laurel, NJ
  • Philadelphia, PA
  • Wilmington, DE

RESPONSIBILITIES:

  • Responsible for the chronological placement of correspondence, legal documents and all relevant file material in the appropriate files according to established policies and procedures
  • Assist with preparation of files and coordination of file delivery to main office for client audits
  • Perform basic clerical duties such as chronological filing of letters, documents and general file material
  • Ensure files are maintained in a clean, neat and organized condition
  • May be requested to assist with the coordination of closed files to off-site storage
  • Occasionally, requested to perform data entry, attorney time entry and receptionist relief coverage
  • Maintain positive contact with clients, attorneys, and staff and observes confidentiality of client and Firm matters
  • Confirm depositions with counsel/doctors
  • Reserve conference rooms as requested
  • Process vendor invoices and research vendor invoices in receipts folder to attach to pre-bills
  • Perform other related duties as assigned

REQUIREMENTS:

  • High School diploma or its equivalency
  • At least 1 year of recent office experience required. Law office experience is preferred
  • Strong verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Must have positive attitude and demeanor
  • Must be able to utilize telephone system on relief coverage basis
  • Excellent organizational skills and attention to detail
  • Ability to assemble files and to file documentation in chronological order utilizing alphabetical and numerical filing guidelines
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Ability to prioritize tasks
  • Ability to function well in a high-paced and at times stressful environment
  • Proficient with Microsoft Office Suite and Microsoft Outlook
