Founded in 1910 and located in Calgary, Alberta, Canada, Mount Royal University grew into a vibrant college in the 1930s and became a mid-sized university in 2009. Mount Royal has carved out a distinct niche by offering smaller class sizes, a robust liberal education and unique undergraduate programs. Mount Royal University is located in the traditional territories of the Niitsitapi (Blackfoot) and the people of the Treaty 7 region in southern Alberta, which includes the Siksika, the Piikani, the Kainai, the Tsuut’ina and the Iyarhe Nakoda. We are situated on land where the Bow River meets the Elbow River. The traditional Blackfoot name of this place is “Mohkinstsis,” which we now call the city of Calgary. About the Role
Reporting to the Manager, Information Systems & Data Management, the Data Entry Coordinator position serves the data entry and data maintenance needs of Mount Royal University Advancement. Within the Advancement area, this position is responsible for the integrity of the constituent data in the Customer Relationship Management (CRM) system, Raiser’s Edge (RE). The incumbent will be sufficiently knowledgeable about our database, Raiser’s Edge, as well as data integrity and will enter data about prospective donors, alumni, and other constituents, perform data maintenance using queries and other analytical tools.
The Coordinator will also maintain close working relationships with other members of the Information Systems & Data Management team, the Advancement Services team, and other members of the University Advancement team, providing administrative-level support as needed.
Responsibilities
General Data Entry
General data entry and maintenance including, but not limited to, constituent biographical and contact information, relationships, and information about engagement and participation with the Mount Royal University (MRU) community such as event attendance or volunteer participation
Follow established processes to ensure data is entered into RE in a timely and accurate manner, observing University and departmental data standards to compile, verify, and sort information when preparing source data for entry
Review error/maintenance queries and correct system data ensuring University and departmental data standards have been observed and data errors, such as duplicate records, are corrected in a timely manner
Maintain (e-)filing system to ensure compliance with MRU Advancement data policies and procedures, FOIP, and easy access for Advancement staff
Respond to common inquiries and respond individually to inquiries related to constituent records – may be technical in nature
Proactively identify opportunities to capture additional information in constituent database fields and identify issues with the database, bringing both to the attention of the Manager, Information Systems & Data Management, with recommendations
Maintain a fundamental understanding of Raiser’s Edge for the purpose of navigation, data entry and retrieval, and the interaction of data across other systems, attending development and training sessions as required
Ensure proper storage of information both electronically and print (adhere to FOIP standards and other document management standards
Support the Advancement team through preparation of mailings and other communications, updating event records and event attendance information, etc.
Process return mail and update records accordingly
Gift Processing
Gift processing annual-level gifts (cash, cheques, online transactions)
Generate and send thank you letters and tax receipts to donor
Ensure adherence to Canadian Revenue Agency (CRA) guidelines
Respond to donors inquiries and requests regarding donation receipts
Generate pledge reminders and invoices
Support Annual Giving team in adding appeals
Qualifications
Two-year university diploma or equivalent
6 to 12 months of related experience
Knowledge of post-secondary environment
Charitable sector experience is an asset
Experience and in-depth knowledge with the Raiser’s Edge and Microsoft Office an asset
High level of computer competency with ability to learn new systems quickly
Experience working in an environment which requires a high level of attention to detail and superior
organizational skills
Intermediate organizational, analytical and problem solving skills
Process oriented
Critical thinker with a focus on continuous improvement
Effective oral and written communication skills including an excellent telephone manner
Strong interpersonal skills with a service oriented approach
Ability to work independently and as a team player
