Position Overview
The Business Assistant is essential in the delivery of our business operations. The Business Assistant will be accountable for delivering on the administrative needs within the Ireland Human Health subsidiary. This is a diverse role that requires the management and delivery of multiple tasks to assist and enable the Business in delivering business results in an efficient and compliant manner.
Activities and Priorities:
Completion of key administration tasks such as:
Scheduling and organisation of internal meetings and events.
Liaising with our external preferred suppliers.
Arranging meeting rooms and catering for internal meetings.
Administrative support relating to international customer meetings
Supporting the business with company related administrative requests.
Delivery of financial and procurement process and systems to ensure timely completion of tasks including:
Ariba system.
Managing Purchase Orders (PO).
Payment Portal requisitions (PPR) processing.
Oversee and manage the monthly, quarterly, and yearly accrual process for the marketing teams (where appropriate)
Resolve customer Invoice/PO queries with EMEA Resolution Team.
Support the setup, management and tracking of brand budget allocations.
Process waivers and deviations via e-approval system
Manage the creation storage and updating of important records and contracts.
Provide additional support to manage other brand activity such as PI updates, or other maintenance as required for existing assets. Work alongside the respective team members to ensure assets remain compliant.
Support the ordering and availability of assets and materials as required.
Support the administration and approval flow for Veeva Vault Promo-mats, including setting up job bags and arranging certification where appropriate (i.e. Slide decks, Venue certification)
Key requirements for the role include:
6+ years in a Office Manager/Payments Administrator/EA to a senior leader or similar
Management of systems / software such as: Veeva Promo-mats, Ariba, SAP etc..
Strong planning and organisational skills to manage time effectively
Excellent IT skills, including Microsoft Office 365 Applications
Ability to communicate effectively at all levels
Ability to respond to changing priorities from multiple stakeholders
Diplomacy and strong people skills
Ability to work independently, manage ambiguity and use good judgement
