Job Summary:
The clerical coordinator’s primary responsibility is to assist in coordination of the medical secretarial functions across the practice; develops and implements education and training programs for clerical staff members; evaluates programs to determine whether goals and objectives have been met; monitors compliance to practice protocols and program to ensure consistency and competency across practice locations. This position requires flexibility to help cover staffing assignments due to illness, vacation or peak patient activities across practice locations.
Essential Functions:
1. Identifies areas of improvement needed regarding clerical processes in cooperation with the physicians and Practice Administrator and Operations Manager
2. Floats between multiple locations to help provide adequate staffing coverage based on volume needs of practice
3. Coordinates training and implementation of EMR in conjunction with practice workflow
4. Develops, implements and monitors a comprehensive orientation program for new employees
5. Develop performance standards for secretarial positions across the practice to ensure and measure clerical competency
6. Promotes a moral and a positive attitude
7. Assists with the development of policies & procedures
8. Monitors compliance to practice administrative protocols, policies and governmental regulations
9. Facilitates the development of patient education programs and materials.
10. Performs routine site visits to assess staff competency, adherence and consistency with practice protocols, and environmental conditions of each office
11. Participate in practice marketing presentations as needed
12. Other duties as directed by Practice Administrator/Operations Manager
13. Works collaboratively with the Clinical Coordinator.
14. Attends meetings as required.
15. Assists in care and maintenance of office equipment.
16. Other duties as assigned
Competencies:
1. Knowledge of reception tasks, clinic policies/procedures, paperwork.
2. Knowledge of how to use office equipment including phone, computer.
3. Knowledge of customer service concepts and techniques.
4. Knowledge of business office procedures.
5. Knowledge of grammar, spelling, and punctuation to type patient information.
6. Skills in using office equipment satisfactorily and handling paperwork/filing adequately.
7. Skills in customer service principles by creating a pleasant waiting room atmosphere.
8. Skills in answering the telephone and using a multi-line telephone system in a pleasant and helpful manner
9. Ability to communicate clearly in person and maintain cooperative relationships with patients, families, physicians, staff and other customers.
10. Ability to organize, prioritizes tasks, and multitasks effectively.
11. Ability to read, understand and follow oral written instructions.
12. Ability to sort and file materials correctly by alphabetic or numeric systems.
Education and Work Experience:
1. High school graduation or GED.
2. Typing ability and Word processing/computer skills.
3. Knowledge of medical terminology.
Environmental/Working Conditions:
Office setting, well-ventilated and well lighted. Work involves frequent telephone contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive.
Physical/Mental Demands:
Normal office environment. Work is typically performed at a desk or table requiring the use of standard office equipment. Intermittent sitting, standing and stooping. May view computer screen for long periods of time. Work may be stressful at times. Interaction with others is constant and interruptive.
