Shift: Monday-Friday, 7:30 am – 4:30 pm

Goals and Key Results:

• Coordination of job packets including scanning and filing, maintaining statuses of JOs and SOs in M2M, reviewing data for accuracy/completeness, and highlighting/escalating possible errors or issues in the job details.
• Monitoring WIP reports and updating M2M information as needed.

• Reception duties.

• Assisting Office Manager with tasks as needed.

Responsibilities and Key Tasks:

Internal Coordination – Data Integrity:

• Scan and file incoming completed job packs in a timely manner.
• Close job orders ensuring it is processed in the appropriate month.
• Review job details within M2M and highlight any possible errors or significant variances requiring investigation and escalate to the appropriate contact within Norquest.
• Monitor various reports from M2M to maintain our data integrity such as JO statuses, SO statuses, etc.

Internal Coordination – Reception and Office Management:

Assist Office Manager with tasks related to:

• Reception coverage – manage and direct incoming calls, greeting visitors, etc.
• Coffee machine refills/maintenance
• Company communications – posting communications on communication boards
• Promotional materials – coordinating, purchasing, inventory tracking, etc.
• Event planning
• Travel arrangements
• Maintaining office organization and tidiness
• Preparing for customer or supplier visits/meetings
• Running some errands as needed

External Outreach:

• Greeting visitors and callers
• Possible coordination with suppliers, ex. researching/purchasing promotional items

Other:

• Administrative support to all departments, senior management.
• Comply with all HSE, QMS and Corporate policies at Norquest.
• Performs other duties as assigned by Supervisor.

Core skills / Qualifications:

• Minimum grade 12.
• Experience of in administration and in a manufacturing environment an asset.

• Crucial competencies include organizing as well as prioritizing ability, communication abilities, information and data management skills, problem-solving abilities, time management, and organizational skills.
