Marketing Team

The marketing and communications function is a Centre of Expertise (MARCOE) within Octopus. This means that all the brand, marketing and comms activity across our financial services businesses and parent company is a centralised resource for the group and sits in one team, reporting to a single Brand and Marketing Director.

Role Purpose

To provide an amazing PA and administration experience to our Brand and Marketing Director and a growing, vibrant team.

What you’ll do

• Provide administrative support to the Brand and Marketing Director, including calendar and inbox management, responding to emails, setting up meetings
• Provide administrative support to 6 direct reports (light touch) calendar management and inbox management (only when on holiday)
• Take ownership of budget management tasks including raising purchase orders and budget analysis and reporting
• Provide expense management for the Director/the team corporate card. Uploading the information onto internal systems and updating the budget tracker
• Book meeting rooms, preparing agendas, and taking minutes in meetings (All team meetings, managers weekly catch up and monthly MARCOE meeting)
• Manage email distribution lists – liaising with IT
• Plan/organise team offsites
• Organise team socials/fun activities/seasonal parties
• Helping to onboard new starters, liaising with HR/IT, create the Marketing induction personalised boards on Monday.com and organising MARCOE modules in the calendar
• Organising moderation meetings (ensuring these meetings are set to private)

What you’ll need

• Previous PA, diary management and team administration experience
• Discretion and trustworthiness: you will often be party to confidential information
• Flexibility and adaptability: we work at pace in a busy, creative environment
• Good oral and written communication skills
• Organisational skills and the ability to multitask
• The ability to be proactive and take the initiative – we’re looking for someone who can drive an agenda for the Brand and Marketing Director and be outcome-focused
