Executive Assistant II (Remote)

As the Executive Assistant II for the EnlivenHealth organization, you will participate in exciting and rewarding work, focused on a hyper growth division within Omnicell! Your principal responsibility will be to provide administrative support to the SVP and General Manager of EnlivenHealth and his/her direct report team. To be successful in this role, you will develop in-depth knowledge of company operations, policies and procedures. You will be exposed to both highly confidential and critical nature discussions and need to be able to handle these communications in a responsible manner. The role will be demanding but also fulfilling. You will have visibility at the highest level within our organization enabling our leaders to do what they do best.

Responsibilities:

• Manage and maintain a busy and frequently changing and evolving Outlook calendar. Organize and perform support duties keeping business and scheduled commitments timely. These duties include but are not limited to: noting commitments made by executive during meetings; establishing appointment priorities and rescheduling or redirecting meetings or invitations; acting as calendar gatekeeper for execs.
• Coordinate all aspects of a heavy domestic and international travel schedule, not limited to, but including travel visas, passport management, and assembling all required trip documentation.
• Interact with company executives, board members and other individuals both internally and externally on matters related to the day-to-day operations of the business. Operate with discretion on matters of a highly confidential nature.
• Work closely with EA team members, to ensure consistency and foster partnership and support.
• Analyze situations accurately and adopt an effective course of action under tight deadlines. Independently project manage assigned initiatives, end to end, with limited supervision. Exercise self-direction, good judgment and diligence in identifying resources, mapping out and executing action plans, gathering and organizing data, and communicating with involved parties. Keep executives informed as necessary.
• Prepare moderate to complex materials needed by executive for general meetings and appointments. Create and maintain files, documents and other records, as requested and maintain optimal security in storage of confidential information, ensuring privacy.
• Generate or update reports, spreadsheets and other documents using a set schedule and prescribed approach. Create and distribute presentation materials for meetings in collaboration with the executive.
• Plan and coordinate special events (meetings, conventions, etc.) for a variety of individuals including top-level executives and attendees. Negotiate most of the basic services associated with meetings and events to get best service at lowest cost. Demonstrate exceptional judgment and decision making in securing of services, to ensure high quality and appropriate coverage.
• Prepare, reconcile, and track expense reports, for Leadership, through the Concur Travel system.
• Work closely and effectively with the Leadership staff, anticipate needs and provide the highest level of proactive support.
• Prepare information and presentations for use in discussions/meetings
• Manage incoming/outgoing correspondence.
• Manage business errands during the workday and as needed outside of work hours.

Required Knowledge and Skills:

• Advanced skills with Microsoft tools (Outlook, PowerPoint, Excel, Word)
• Be a team player and interface with all departments/levels both in and outside the Company
• Ability to prioritize and manage multiple tasks efficiently and effectively in a fast-paced environment
• Meet deadlines while maintaining a high quality of work and personal composure
• Ability to think independently and self-manage
• Excellent organizational and customer service skills
• Strong verbal and written communication skills
• Possess a strong sense of pride and ownership of projects
• Flexibility in managing change and occasional ambiguities
• Must show flexibility in hours and availability
• Experience using Zoom or other video conference technologies

Basic Qualifications:

• High school Diploma/GED
• 5 or more years of progressively responsible experience in an executive administrative assistant role, supporting Senior Leadership
• 5 or more years of experience using Microsoft Office suite, and Video conferencing tools

Preferred Qualifications:

• 5+ years working in a publicly traded company
• Bachelor’s degree

Work Conditions:

• Remote Environment

Compensation will vary based on region. For the state of Colorado only, expected pay is $74,825 – $107,113. Benefits can be found on www.omnicellbenefits.com.
