Role Summary

The Patient Coordinator is responsible for setting the standard and expectation of Philosophy MD’s customer service and care model. The Philosophy Patient Coordinator is highly experienced, organized and efficient when managing patient flow, and in providing retail support and skincare expertise. They provide consistent and dependable support to the Philosophy administration and care teams through their on-the-fly coordination of patients and retail management.

The Patient Coordinator is the primary resource for daily logistics and patient flow through the practice. They oversee retail, reception, occasionally answer phones, and assist with providing consultations both in retail and in the clinical capacity.

The Patient Coordinator is responsible for patient intake, photos, and close-out, including taking payment. In addition, the Patient Coordinator may be called upon to further relieve the clinical team and provide support with taking informed consent, preparing patients for treatments by applying topical anesthetic, and occasionally providing bedside assistance to the physicians and nurses.

The Patient Coordinator will also study and participate in all product knowledge trainings and skill building workshops to thoroughly educate and empower prospects and patients through their interactions.

Functions & Duties

Govern patient logistics – intake, photos, treatment prep, closeout. ~ 30%

Oversee reception and the retail space, providing personalized skincare recommendations and occasionally answering phones (Saturdays). ~ 30%

Provide clinical consultations and design holistic, tailored treatment plans. ~ 20%

Prepare patients for treatment and assist physicians and nurses. ~ 10%

Attend all meetings with the Philosophy Team. ~ 10%

Education & Experience Requirements

• Diploma, Certification and/or 5+ years of equivalent experience supporting a clinical practice
• Proven customer service, organizational, and problem solving skills
• Demonstrated proficiency working with computers – within EMR softwares (Zenoti), cloudstorage programs (like Dropbox and Google Drive), Apple desktop publishing and/or Microsoft Word and Excel
