Administrative Assistant
Phoenix Society for Burn Survivors is a non-profit organization dedicated to empowering people affected by a burn injury. We work to serve burn survivors, loved ones, burn care professionals, researchers, and anyone else committed to empowering the burn community and building a safer world. We have an exciting opportunity to offer an enthusiastic and well-organized individual to support multiple departments in our organization in the integral role of Administrative Assistant. This is a salaried, full-time remote position.
What you will do:
·Execute clerical tasks such as answering phone calls, managing files and records, providing verbal communications, data collection and entry, content proofing, and preparing letters, documents, and reports.
·Manage executive team calendars, scheduling, and travel. Coordinate travel and itineraries for special groups (i.e. Board of Trustees, advocacy volunteers, etc.) and team members as needed.
·Prepare and reconcile the Chief Executive Officer’s expenses.
·Support the Board of Trustees and sub-committee work as requested.
·Plan and organize advocacy events with key business partners and serve as a point-of-contact between Phoenix Society’s business partners and constituents. Act as a liaison between Chief Executive Officer and major donors.
·Provide administrative support for the Development Department through communications and owning the scheduling, preparation, execution and follow up of meetings, report preparation, and monitoring of departmental inbox.
·Provide general administrative and clerical support in the Program Services Department in the planning and execution of the SOAR program and biennial Phoenix World Burn Conference.
·Track and help drive completion of key organization deliverables as directed.
·Occasional travel may be required for group meetings and attendance at Phoenix World Burn Conference.
·Shipping of support materials to hospitals and partners as needed.
What we are looking for:
· Bachelor’s or associate degree preferred or equivalent work experience.
· Candidate who thoroughly enjoys managing competing deadlines for multiple areas
· 4 or more years of demonstrated success working at supporting multiple people or departments.
· Ability to be flexible and adaptive in a fast-paced environment.
· Ability to maintain confidentiality as required.
· Thrives at working with diverse groups of people including donors, health care staff, board members, fire service and burn survivors as well as internal staff.
· Strong written and communication skills.
· Individual that produces accurate, detailed and quality work.
· Strongly proactive and self-initiated work style
What we offer you:
· Salary range: $42,000 – $46,000 per year (dependent on experience)
· Remote work from home position; very occasional travel
