Position Summary:

The Executive Assistant will perform diversified administrative/secretarial duties, maintain a close and highly responsive relationship to the day-to-day activities of the staff, and deal discreetly with sensitive, confidential information. Other duties include, but are not limited to:

• Draft, type, proof a variety of materials: i.e., correspondence, manuscripts, reports, charts, minutes of meeting, etc.
• Coordinate schedules and Executive’s appointments; schedule committee meetings and arrange for rooms; take and type minutes of meetings
• Project budgets and monitor that department operates within allocated funds
• Processes purchase order requisitions, invoices, check requests, and other departmental orders for services or goods needed
• Prepares bi-weekly payroll as needed within department
• Interacts with board members, executive staff and community members as needed on executive’s behalf
• Schedule and greet office visitors. Respond to calls and visits from employees, patients and families. Determine urgency of situation. Determine and suggest appropriate referrals from knowledge gained in previous situations. Decide emergency need to interrupt, prioritize problems for referrals and appointments.
• Maintain established hospital/department policies, job descriptions, procedures, objectives, quality assurance, safety, environmental and infection control.

• Must have a High School diploma or equivalent; Associate’s degree preferred
• Must have a minimum of five (5) years experience working in a clerical/administrative role
• Must have experience with Microsoft Office Suite (PowerPoint, Word, Excel)
• Requires in-depth knowledge of health care industry, hospital policy, and organizational structure
• Understanding of confidentiality and a high degree of discretion; Requires excellent interpersonal skills
