Position Overview
The Bookkeeping Administrative Assistant is responsible for effectively computing, classifying and recording numerical data to keep financial records complete while assisting with the leasing and resident relations for the community. The entrant will perform any combination of routine calculating, posting and verifying duties to make payments to vendors, process resident rental payments and obtain primary financial data for use in maintaining property accounting records.
Primary Duties and Responsibilities
· Enter and follow up on maintenance tickets.
· Answering of phones and email, helping clients via phone, in person or by website inquiry.
· Maintaining and updating spreadsheets
· Demonstrate product knowledge to clients’ needs by communicating the features and benefits
· Work with prospect to complete application and secure deposit in accordance with the company procedures and Fair Housing requirements.
· Update availability report, process applications for approvals. (i.e., credit check, rental history, etc.) Submit processed applications to the Property Manager for approval. Follow up with applicant regarding status.
· Maintenance invoicing, monthly billing
· Data entry and month end close out for REMS Secure Storage
· Bank reconciliations
· Quick Books entry, Account Payable entry in Bill.com
· Credit Card reconciliations, Deposits, receipt of payments
Additional Duties and Responsibilities
· Ensure apartment is ready for resident to move-in on agreed date.
· Secure new resident’s signature(s) on appropriate paperwork prior to move-in. Orient new residents to community.
· Back up Secure Storage Staff as needed.
· Provide outstanding customer service by welcoming customers and making their move-in a positive experience.
· Rent out Storage Units.
· Perform collections duties, overlocks and cut locks including auction procedures.
· Facilitate and order vehicle rental including Penske truck rentals.
· Make customer calls regarding their account, collections and other items. Process customer payments.
· Conduct daily storage inspections; confirm inventory availability.
· Scanning and maintaining documentation.
· Create and keep current marketing log to track activity.
· Perform cleaning and maintenance such as sweeping units, picking up trash, wiping down doors, replacing rope, cleaning hallways, washing windows, and keeping a tidy office space.
· Turn-over maintenance, HVAC, minor electrical and plumbing maintenance/repair and after hours emergency maintenance.
· Other duties as assigned.
