Administrative Assistant
Business & Financial Planning Division
Contract Full-Time; up to 11 Months
Reporting to the Manager of Business & Financial Planning – EPS, the position is responsible for providing coordinated administrative support to the four (4) BFP Managers within the division. The position ensures the Managers, and the sections’ information and activities are well organized, efficient and effective, at the same time, identifies opportunities to contribute and improve the efficiency and effectiveness of the division’s operations.
Responsibilities:
- Processing and maintaining records management systems including central, network and HRMS attendance records
- Administering acquisition of and payment for various goods and services by preparing required documentation for appropriate approval
- Prepare and submit monthly expense reports for Manager(s)
- Reconcile P-Card (Visa) statements on a monthly basis
- Ordering and maintaining office supplies and associated services
- Ordering new equipment
- Coordinating meeting arrangements, preparing and distributing agendas on behalf of the Managers and staff
- Attending meetings, recording minutes and generating follow-up lists of required actions
- Acting as the division’s point-of-contact by directing information requests to appropriate individuals
- Responding to information requests by phone and through correspondence
- Typing and/or formatting memos, reports, presentation materials and correspondence for the section
- Receiving, sorting, distributing incoming mail and correspondence and taking appropriate action where required
- Organizing and maintaining appropriate reports, files, systems and documentation and actively managing a follow-up system
- Involvement with confidential information and matters for the division
- Facilitating the hiring and on-boarding processes for new staff
- Preparing slides, organizational structure diagrams, spreadsheets and other presentation materials
- Supporting special projects and coordinating special events and other responsibilities relating to the scope of the position as required
- Ensure Manager(s) are kept informed of all issues related to the division and/or section
- Some research may be conducted in assistance with section projects
- Provides back-up assistance to the Administrative Assistant to the Director of Business and Financial Planning
- Performing other duties as assigned
Qualifications:
- Successful completion of a post secondary secretarial or administrative assistant program plus a minimum of three years relevant experience or an equivalent combination of experience and education
- Proficiency in Microsoft Word, Excel, Outlook, Visio and PowerPoint
- Superior time management and organizational abilities
- Superior demonstrated initiative and a “self-starting” attitude
- Excellent verbal and written communications skills
- Demonstrated strong judgment, tact, and problem-solving abilities
- Ability to work in a fast paced environment with competing and shifting priorities under time constraints
- Ability to work independently or as part of a team, and to deal well with changing tasks and priorities
- Knowledge of PeopleSoft HRMS would be an asset

Location: Due to Covid-19, some of our offices are working at limited capacity to protect the health and safety of our employees, clients and community. As such, this position will be required to work remotely for an undetermined period. Once working onsite, you will report to 10 Peel Centre Drive, Brampton.
