Job Overview:The Personal Assistant will play a crucial role in supporting our executive team with various administrative and personal tasks. This position requires a high level of discretion, excellent organizational skills, and the ability to manage multiple tasks efficiently. The ideal candidate is a proactive problem-solver with exceptional communication skills, a keen attention to detail, and proficiency in Microsoft Excel. Being bilingual in Spanish is a plus.

Key Responsibilities

• Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for the executive team.
• Communication: Handle correspondence, screen phone calls, and respond to emails on behalf of the executives.
• Project Management: Assist with various projects, ensuring deadlines are met and deliverables are completed to high standards.
• Event Planning: Organize and coordinate company events, meetings, and social gatherings.
• Personal Tasks: Manage personal errands and tasks for executives, including shopping, scheduling appointments, and other personal responsibilities.
• Office Management: Maintain office supplies, handle office-related vendor relations, and ensure the office environment is well-organized.
• Log Reports: Create and maintain detailed logs of orders and track their status using Excel.
• Calendar Management: Ensure all executive calendars are up-to-date, and coordinate with various teams to avoid scheduling conflicts.
• Customer Follow-Up: Assist with customer follow-up to ensure high levels of satisfaction and address any concerns or inquiries.

Qualifications

• Experience: Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or in a similar role
• Skills:
• Exceptional organizational and time management skills.
• Excellent verbal and written communication abilities.
• Proficient in Microsoft Office Suite, particularly Excel.
• Ability to multitask and prioritize effectively.
• High level of discretion and confidentiality.
• Detail-oriented with a high degree of accuracy.
• Bilingual in Spanish is a plus.
• Strong organizational personality, able to keep tasks and projects on track.
• Preferred Background: Experience in manufacturing, retail, or textile industries is a big plus.
