The Roaring Fork School District is seeking a qualified Office Manager to support the Maintenance and Facilities Department. This is a full-time position, 260 work days and offers full district paid employee health benefits as well as voluntary vision, dental, and dependent coverage. Starting pay range: $20.00 – $23.91 per hour DOE
DEFINITION
The Facilities/Maintenance dept office manager performs a wide variety of responsible and complex administrative duties to ensure efficient operation of the Facilities/Maintenance department.
SUPERVISION RECEIVED AND EXERCISED
Receives direct supervision from the Director of Maintenance and Facilities.
PRIMARY DUTIES
Perform a wide variety of complex, responsible, and confidential duties for the Facilities Director.
Provide exceptional customer service to vendors, department employees, and other district staff; answer phones and respond to requests of information in a timely manner.
Prepare and revise office forms; initiate, organize, maintain complex computer software systems and records; ensure all forms are updated and accurate.
Input and maintain data in the district financial operating system, payroll system, energy management program. Submit related reports in a timely accurate manner.
Type and proofread a wide variety of reports, letters, memorandum, and correspondence.
Assist school secretaries, school and department administrators with work orders, package deliveries, and key/ key card distribution and access. In coordination with HR, manage the key/badge system.
May be asked to attend meetings and act as recorder for meetings, preparing reports for actions taken and assignments made.
Order parts and department equipment in a timely manner, track packages and ensure the condition of the packages are free of damage.
Make purchase orders, RFPs, and manage department accounts payable. Prepare and submit reimbursement requests to the district accounts payable department.
Maintain Right to Know stations, Life Safety, Hazardous material documentation.
Inventory and label district-owned equipment and property.
Provides the Facility Director with monthly budget updates and payroll /overtime reports.
Purchase and maintain office supplies, uniforms, and various other supply orders.
Manage and track absence balances for department staff. updates google calendar when staff is absent. Maintains Facilities on-call rotation up to date.
Report to work on time and accurately record time worked as scheduled.
Contributes to the overall success of the Maintenance and Facilities Department by performing all other related duties as assigned.
QUALIFICATIONS
Knowledge of:
Principles and procedure of financial record keeping.
English usage, spelling, grammar, and punctuation.
Modern office procedures and methods.
Extensive knowledge of Microsoft Office programs, Word/Excel. Google platform Docs/Sheets/calendar/Gmail.
Principles and procedures or record keeping and retention.
Principles of business and letter writing and basic report preparation.
Basic mathematical principles.
Ability to:
Work efficiently with a service-oriented attitude under stressful situations with constant interruption
Perform responsible and complex clerical work.
Perform technical accounting duties in support of the department.
Monitor and track budget expenditures.
Accurately count, record and balance assigned transactions.
Effectively manage time and multiple responsibilities.
Interpret and apply District policies and procedures.
Independently prepare correspondence, memorandum.
Initiate projects to improve building operations and systems.
Implement and maintain a standard filing system.
Work independently in the absence of supervision.
Maintain confidential records and reports.
Operate and use modern office equipment including a computer and various software packages. i.e. R schools maintenance work order and Best Key software
Communicate clearly and concisely, both orally and in writing.
Establish and maintain effective working relationships with those contacted in the course of work.
Order parts and equipment effectively, compare pricing and alternatives.
EXPERIENCE & EDUCATION
Experience:
Minimum three years of complex administrative support, including experience in clerical accounting.
Education:
Equivalent to the completion of the twelfth grade.
Spanish bilingual preferred.
WORKING CONDITIONS
While performing the duties of this job, the employee regularly works inside. The noise level is usually moderate. Office environment; exposure to computer screens and use of a keyboard.
Physical Conditions:
While performing the duties of this job, the employee is frequently required to sit, walk, and stand. Occasional lifting of 25 pounds or less.
The maintenance secretary is scheduled to work 260 days and is considered classified non-exempt.
