Royal Victoria Regional Health Centre Looking for Administrative Coordinator at Barrie, ON Full Time

Job Description:
To provide confidential administrative support to the Barrie and Area Ontario Health Team in maintaining the efficient operation of the program. In coordinating the day-to-day activities of the office, this role has responsibility for report preparation, maintaining files, formatting complex documents, and meeting/event planning. This role actively collaborates with the other Program Assistants in supporting Ontario Health Teams. In addition, this role collaborates with Ontario Health, the members of the Barrie and Area OHT, and supporting organizations. It must be noted that the deliverables and responsibilities may evolve to match provincial and or local OHT priorities.

Responsibilities

• Arranges internal and external meetings including invitations, room booking and location set-up, agenda packages, minute-taking and video and teleconferencing support. Monitors actions arising from meetings and handles, as appropriate.
• Reviews incoming mail/materials to determine their disposition and initiate actions required.
• Updates and advises the Project Manager and BAOHT Planning Table or appropriate team member on progress, problems and issues.
• Responds to letters and general correspondence of a routine nature.
• Develops and maintains electronic and hard copy files and records systems, databases and special reports.
• Prepares draft documents, presentations, data reports and other types of documents.
• Manages the process for approvals, follow-ups to meetings or other action required to advance materials.
• Other administrative duties as assigned.

Education:

• Completion of a two year Community College Diploma with a focus on Administrative Assistant work
• Completion of a medical terminology course or comprehension of medical terminology an asset

Experience:

• Progressive administrative experience supporting a senior level manager/executive, preferably in a health care environment
• Experience in the management and coordination of senior managers/executive schedule

• Ability to analyze and resolve office administrative and procedural problems, interpret policies and procedures.
• Excellent communication skills to effectively communicate with all staff at all levels, including the general public.
• Excellent time management skills and ability to prioritize multiple, often conflicting demands.
