Abrasives Worcester is looking for a Facilities Coordinator to help manage the day to day operations of our busy Facilties department.
Accountability Objective: The Facilities Coordinator supports the day to day operations of the Facilities department. This position is responsible for general organization to the Facilities Manager, annual projects, purchasing activities, and the department. The Coordinator will help support outside contractors and vendors, facilities records and contracts, coordinates project activities and scheduling work order support.
Principle End Results
Assist the Facilities department and manager with project implementations as needed
Support the Facilities department with external contacts and vendors as needed
Liaison with vendors and supplier on behalf of Facilities Manager
Receive and dispatch service calls within Facilities Dept. include follow up for completed or more resources needed
Administer the PM order confirmation process
Process labor cards to allocate time per assignment in SAP for Facilities Dept.
Assist Purchasing Department as needed to support Facilities Functions
Create, revise and close out purchase requisitions across the Worcester Abrasives business
Add qualifying vendors to SAP and the MDM database as needed; collects W-9 documents and obtains credit approvals
Address and troubleshoot issues with IOL and AP as the arise
Participate in inter-departmental meetings to support the communications and actions between various departments
Maintain and organize department central records as it pertains, purchase orders, work/repair orders, contracts and vendor assignments
Prepare various reports relative to the Facilities department
High School Diploma required or 2-3 years of relative experience
Excellent computer skills and thorough knowledge or MS excel, word and power point
Proficient in SAP systems
Demonstrated ability to work independently to establish priorities, multi-task and meet deadlines
Experience in the management and administration of confidential information
Experience in compiling, preparing and distributing purchase, maintenance, and repair orders
Demonstrated ability to work and communicate professionally, verbally, and in written form with internal and external customers
Strong analytical skills (https://resources.workable.com/analytical-skills-interview-questions) with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy
