We’re looking for an Executive Assistant to support the Global Vice President, Software Centric Automation, and the Vice President of Secure Power Canada. Both executives are currently located in Canada, but their scopes are both local to Canada as well as International.
This role serves as a trusted partner for the business executives supported, connecting organizations, projects, and critical business information, ensuring meetings and materials are efficient and effective.
In this position, the Executive Assistant must interact seamlessly with high level of professionalism with members of the Senior Executive leadership team and customers at the C-Suite level. The Executive Assistant is expected to handle highly sensitive and confidential financial, legal, and personnel information.
What will you do?
- Maintain a regularly changing calendar, including scheduling meetings, appointments, speaking engagements, and extensive travel arrangements (both domestic and international). Exercise discretion in committing time and evaluating needs.
- Coordinate and schedule meetings internationally and across multiple time zones ensuring you protect the personal time of the executives you support.
- Coordinate work with other EA’s as needed and play a key role in the coordination of efforts within the direct teams of the executives you support.
- Assist the executives to onboard new hires in their direct teams.
- Assist the executives in the development and coordination of presentations for internal and external audiences and prepare for speaking events.
- Determine priority of matters of attention for the executives and redirect matters to other team members as appropriate.
- Keep executives advised of time-sensitive and priority issues, ensuring appropriate follow-up so that deadlines are not missed.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Schedule meetings including off-site events, team meetings, seminars, training, and event coordination as required.
- Transcribe source material, prepare documents, reports, tables, and charts.
- Prepare, reconcile, and submit expense reports for executives.
- Approve expenses and travel request for the executives’ direct team in accordance with company policies and guidelines.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments as needed.
What qualifications will make you successful?
- Post Grade Degree/Diploma in business communications, administration, organizational strategies or related discipline
- Minimum of 5 years prior experience as an executive assistant supporting a senior executive or team
- Experience in supporting an executive in an international role
- Proficient in creating power point presentations, spreadsheets, special reports, and agenda material
- Strong verbal communication skills
- Exceptional writing, editing, and proofreading skills
- Proactive attitude with excellent attention to detail
- Excellent organization and time-management skills
