Scion Staffing Hiring for Administrative Assistant at Seattle, WA Full Time

Scion Nonprofit Staffing, Inc. (www.scionnonprofitstaffing.com), a full-service national staffing firm, has been engaged to conduct a search for an Administrative Assistant for our client, a globally impactful Nonprofit at the center of biodiversity, conservation, and human rights. This is an exciting Direct Hire, Full-Time opportunity located onsite in Seattle, WA.

As the Administrative Assistant, you will report to the Managing Director of Operations and be responsible for the day-to-day operations of the organization’s headquarters. You will provide high-quality administrative support to ensure the efficient operational flow of the organization!

RESPONSIBILITIES:

• Greet incoming visitors with warm hospitality!
• Maintain physical office space during the remaining period of remote work and support the transition to in-office work when the time comes
• Support adherence to COVID-19 safety protocols
• Monitor and answer the main phone line and transfer calls
• Monitor the general email inbox and share/forward emails to appropriate team members
• Sort and manage mail and other deliveries
• Ensure office workspace and common areas are clean, safe, and organized
• Coordinate cleaning, catering, water delivery, and other maintenance issues and needs
• Monitor office supply levels and place orders as needed
• Organize supply room, library, and central files as needed, including electronic files
• Provide organizational support in planning and setup for internal and external events such as staff meetings, guest meetings, and inhouse meetings requiring food and beverage setups
• Coordinate with IT on equipment matters including procurement, onboarding and offboarding of employees, etc.
• Work with remote IT support to troubleshoot IT/AV issues in the office
• Manage and track credit card expenses including collecting receipts and preparing expense reports
• Support data entry and/or data tracking in the CRM system (Salesforce)

QUALIFICATIONS:

• 2+ years of Administrative Assistant experience
• Proficiency with MS Office Suite
• Proficiency with SharePoint
• Proficiency with Zoom
• Nonprofit experience is a plus!

COMPENSATION AND BENEFITS:
