Sturgeon County is recruiting for an experienced Administrative Assistant who is friendly, organized, technologically savvy and able to succeed under pressure with poise and professionalism. This position provides administrative assistance to the Director of Economic Development and Ecosystem Services and team to maximize efficiency and support for the Department.
Job Duties:
Assisting with calendar management for Director, Economic Development and Ecosystem Services (EDES); schedule appointments, plan meetings and coordinate activities on behalf of the Director.
Assemble, prepare and distribute material and information, as required, for meetings, conferences, etc.; completing registrations for events and conferences, making travel and accommodation arrangements as requested.
Review incoming correspondence, forwarding matters to the attention to the appropriate individual and following up as necessary.
Prepare correspondence, reports, agendas, minutes and supporting documents. Gather information upon request and prepare summaries or background information/reports. Attend meetings and take minutes as required. Prepare meeting rooms as required.
Responsible for supporting the County’s Records and Information Management Program through the maintenance, control, and disposition and digitization of records.
Prepare expense claims for the Director, reconcile and code corporate credit card, working with the Divisional Financial and Administrative Coordinator for the Division.
Responsible for the department invoicing / payment practices. Ensure proper coding and collecting authorized signatures.
Provide support and assistance to the Economic Development Advisory Board (EDAB) which may include but is not limited to: preparation and distribution of the agenda package; recording of meeting minutes; coordination of Letters of Recommendation to Council, coordination of requests to present to Council and preparation and completion of expense claims for all Economic Development Advisory Board meetings.
Assist with the preparation of Request for Decisions for the Director, Economic Development and Ecosystem Services where needed.
Deal with routine internal administrative matters on behalf of the Director.
Follow-up on issues and delegated tasks on behalf of the Director. Other related duties, responsibilities and projects as assigned by the Director.
Provide excellent customer service while handling inquiries, in person, over email or telephone.
Provide coverage for and/or assist the Economic Development Specialist at times. Assist with the coordination of events that focus on Sturgeon County.
Adhere to applicable responsibilities and accountabilities as outlined in the Sturgeon County Health and Safety Management System.
This job is performed in a normal office environment and remotely as required.
Job Qualifications and Skills:
This position requires a post-secondary training or certificate in Office Assistant or 3 years of relevant experience in a similar role or equivalent within a professional office setting.
Relevant experience in Municipal or Provincial government or other public sector organization is an asset.
Excellent organizational and time management skills along with highly developed problem solving and analytical skills.
Exceptional customer service and the ability to work individually or as a team.
Outstanding communication, interpersonal and relationship building skills.
Strong attention to detail and a keen eye for accuracy.
Ability to maintain confidentiality when dealing with sensitive situations and/or information.
Apply a forward-thinking approach while working to ensure that processes are efficient and operating as intended.
Proficient in Microsoft Office, Adobe Pro, Microsoft Teams.
