UCLA Health Hiring for Administrative Specialist at Los Angeles, CA Full Time

In this role you will provide administrative and technical support to three faculty and two Project Directors in the UCLA Division of General Internal Medicine & Health Services Research and UCLA Clinical and Translational Science Institute (CTSI). Collaborate with leaders and members of the CTSI Biomedical Informatics Program (BIP) and the Workforce Development Program (CTSI-ED) and the UCLA Office of Information Technology to support a range of activities that promote the CTSI’s CCLE-based instructional course-management system and other BIP- and CTSI-ED-related projects. Duties will include; but are not limited to:

• Arrange and coordinate in-person meetings including catering, room reservations, and travel for a new Providence-UCLA chronic kidney disease research project.
• Host phone calls for the Project as well as take and distribute minutes and agendas from meetings/webcasts.
• Create and update four websites including one national program website for UCLA, U of Michigan, U of Pennsylvania and Yale University as well as update social media sites as needed.
• Creation and management of secure online grant library for the UCLA CTSI Assist with coordination of and travel for CDC-funded NEXT D2 project National Coordinating Center meetings and teleconferences.

Qualifications

Required:

• Skill in typing with speed and accuracy from rough hand-written draft and edited documents.
• Ability to use journal and granting agency style guidelines to prepare manuscripts, proposals, and bibliographies.
• Ability to prepare bibliographies directly from reference sources, such as Medline searches.
• Ability to recognize, spell and use technical & medical terminology correctly.
• Ability to use Microsoft (MS) Windows, MS Word, MS Excel, MS PowerPoint, Adobe Dreamweaver, Adobe Photoshop and Filemaker Pro.
• Skill in transcribing audio recordings.
• Experience with web-based courseware systems such as Moodle or Blackboard, at least as a user and preferably as a system administrator.
• Working knowledge of computer networking concepts and backup procedures.
• Demonstrated ability to manage time and to set priorities that accurately reflect the relative importance of job responsibilities, so that projects or tasks are completed on time.
