The Graduate Advisor provides a first point of contact for current or prospective graduate students via email, phone, in person, or other channels. This role is responsible for providing the accurate delivery of information on academic program requirements, deadlines and university/faculty policies and procedures. The Graduate Advisor advises students on non-routine queries with respect to the academic program and refers complex issues/concerns to more senior staff. They may be called on to assess student life issues and refer students to other resources. They are responsible for escalating issues to supervisors which may affect the success of a student or are outside of decision making authority.
Duties
Processes applications. May be asked to conduct a preliminary review of transcripts and other documents and to provide information to admission committees, as applicable. Ensures completeness of required information. Processes admission decisions in Graduate Studies Management Solution (GSMS).
Calculates Admission Grade Point Average (AGPA) from institutions around the world, converting to the U of A’s grading system, using standardized weighted average conversion methods.
Conducts admissions reporting, including collecting and analyzing data to inform decision making processes.
Compiles and supports award applications.
Monitors program completion progress for students and identifies potential issues.
Coordinates exam activities for candidacy and defense.
Identifies and refers students at risk. Coaches students to identify problems and possible strategies and resources.
Advises students and applicants of their rights and process under the Code of Student (or Applicant) Behavior, referring all affected students to the Ombudservice.
Manages issues related to graduate students, their supervision and committees, and their programs. Organizes and/or supports graduate orientations, convocations and ongoing workshops as required.
With the Academic Department Manager and/or Assistant Department Manager, establishes and monitors the graduate program budget and makes recommendations on GRA/GTA assignments.
Performs HR activities as needed for all graduate appointments.
Conducts continuing student reporting, including collecting and analyzing data to inform decision making processes.
Maintains student records as required by FOIPP and University record retention policies. Creates and updates various forms for student records purposes.
Interprets and communicates calendar regulations.
Provide support to department graduate committees and maintain regular contact with central units such as Faculty of Graduate Studies and Research (FGSR), Dean of Students, University of Alberta International (UAI), etc.
Monitor department website for updates and improvements and accuracy of graduate information.
Assist in preparation of recruitment and other materials.
Qualifications
2-year diploma required. Bachelor’s degree or equivalent preferred.
Minimum of two years related experience, particularly in a post-secondary environment.
Demonstrated proficiency in PeopleSoft, Google Suite, and Microsoft applications.
Excellent interpersonal skills and demonstrated intercultural understanding are required.
Demonstrated excellence in written and verbal communication.
Knowledge of University of Alberta policies and procedures is preferred.
