Job Summary
Under the direction of the Manager, Admissions & Recruitment, this position is a member of the admissions team in the Teacher Education Office, Faculty of Education responsible for planning and coordinating admissions activities. Primarily responsible to coordinate, administer and facilitate admissions for domestic and international students for Diploma, Certificate, Teacher Updating, Unclassified, and Visiting student candidates including a focus on recruitment and pre-admissions activities. Resolves general cases with respect to all admissions functions. Responsible for evaluating and adjudicating candidates for admission to the 11-month BEd program, Teacher Updating Program, and Education Certificate and Diploma programs; interpreting admissions criteria; evaluating a range of transcripts and supporting documentation, both domestic and international; providing consultation and information regarding admissions procedures and criteria; researching and preparing reports; interpreting and applying admission policies from within and outside the University; acting as liaison within and outside the Faculty; assisting with planning, development and modifications of admission processes; shared responsibility for preparation of written and web-based material related to all admissions and pre-admission advising.
Organizational Status
Reports to the Manager, Admissions & Recruitment in the Teacher Education Office. Regular interaction with the Associate Dean, Teacher Education, Director, TEO, as well as Professional Development and Community Engagement (PDCE), Program Advisors, Department Heads, UBC Enrolment Services, other campus offices, and the Ministry of Education Teacher Certification Branch. Represents the Faculty of Education at applicable events, conferences, seminars, workshops and student orientations. Provides work direction to clerical admissions staff.
Work Performed
Admissions and Advising (60%)
1. Primarily responsible to coordinate, administer and facilitate admissions for domestic and international students for Diploma, Certificate, Teacher Updating, Unclassified, and Visiting student candidates. Evaluates transcripts and supporting documents from Canadian institutions to determine credits and standing. Consults with Faculty and departmental representatives concerning admissions criteria. Informs candidates accordingly regarding the status of their application and provides advice on alternatives available to meet admission criteria.
2. Performs comprehensive interpretation and application of admission policies, including those of the University, Colleges, the Faculty, and the Teacher Certification Branch.
3. Coordinates, administers, and facilitates admissions for domestic and international candidates for some 11-month undergraduate BEd program and NITEP students (processing transfer questions).
4. Makes decisions on approval or rejection of candidate admission while ensuring that candidates not only meet University established requirements, but also the requirements for certification by the Ministry of Education Teacher Certification Branch.
5. Provides pre-admission advising and guidance for a variety of program options.
6. Resolves general and complex cases with respect to all admissions functions. Consults with Manager of Admissions and Recruitment in regard to problematic cases if necessary.
7. Acts as the initial contact person in handling appeals for admission. Researches and prepares reports for Associate Dean or Director on appeals when required.
8. Provides input when requested as to transfer credit assessment.
9. Works in collaboration with Program Managers (Practicum) on practicum-related data duties throughout the year.
10. Shared responsibility (with the other Admissions Officers and Manager) to evaluate effectiveness of online admissions process, identify problems/concerns and problem solve with Enrolment Services. Plans, develops and improves the admissions functions for BEd program.
11. Works in collaboration with the academic departments to make recommendations to the Director of TEO regarding changes in admissions policies.
12. Acts as a resource person for the University, the Faculty and other agencies, including the Ministry of Education Teacher Regulation Branch and the public by providing information on admission procedures and criteria for BEd program options.
13. Shared responsibility (with the other Admissions Officers and Manager) to revise and edit admission materials, assign work to admissions clerical staff in consultation with the Administrative Manager.
Recruitment (40%)
14. Leads organizing and planning for recruiting sessions with potential applicants to the teacher education program, collaborates and consults with relevant admissions and program staff to ensure effectiveness of recruitment efforts.
15. Works independently and collaboratively with the Manager, Admissions & Recruitment to establish recruitment goals for the Faculty of Education. Acts as liaison to other UBC faculties.
16. Engages in reflection on implications of admissions policies and procedures. Provides analysis about trends in recruitment and the needs of the Faculty. Consolidates, interprets, and analyzes enrolment data to respond to recruitment trends; evaluates current programs & services to develop new initiatives and partnerships with feeder Faculties and schools.
17. Additional responsibilities as assigned by the Admissions Manager or Director, TEO.
18. Performs other admissions related tasks as required.
Consequence of Error/Judgement
Failure to effectively manage the education admissions applications and deliver admissions decisions in accordance with established policy, regulations and criteria would significantly damage the credibility of the Teacher Education Program, the Faculty of Education and the University.
Adjudicates undergraduate candidates for admission based on interpretation of established University policy and the certification requirements of the Ministry of Education Teacher Regulation Branch. Acts as initial contact regarding appeals for admission. Participates in the development of Admission policy for programs offered through TEO.
Supervision Received
Works collaboratively and also independently in assigned areas of responsibility under the direction of the Manager of Admissions and Recruitment.
Supervision Given
Provides guidance on admissions and recruitment services provided by clerical support staff.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience
Preferred Qualifications
Undergraduate degree in a relevant discipline. Related experience in a student services or admissions setting preferred. Proven advising experience. Basic experience with credential assessment methodology and educational systems necessary and experience with international credential assessment and educational systems preferred. Knowledge of university and departmental admissions policies and procedures preferred. Proficient computer experience required.
