Job Summary
The Department of Occupational Science and Occupational Therapy (OSOT) Classroom Support Assistant will provide high-quality, collaborative, daily support to OSOT faculty, external instructors and staff for all of the department’s programs: Master of Occupational Therapy (MOT), Rehabilitation Sciences Program and Vancouver Summer Program. This role is integral to the operations and goals of the department as it facilitates program implementation for excellent education delivery.
The Classroom Support Assistant will provide operational, technical, and practical support to assist with the planning and delivery of the Master of Occupational Therapy Program at UBCV. These duties will include room booking, supporting written and practical exam administration, and providing backup support for Learning Management Systems (LMS). As well as, ensuring teaching and learning spaces are set-up for classes; tasks include upkeep, gathering, organizing, and distributing occupational therapy equipment and keeping storage and learning spaces organized and tidy.
Further, the incumbent will liaise with the IT Administrator to assist in ensuring that audio-visual equipment is in place, is maintained, and functions as needed for on-campus, remote, online, and virtual learning. To provide effective and optimal classroom, equipment, and technical support, the incumbent will be required to respond on very short notice and resolve issues and complaints that arise in an efficient, calm, non-confrontational manner. To fulfil the operational requirements of this position, the incumbent will be required to start work at 8:00 am, and must be able to move equipment such as assistive devices, therapy beds, and wheelchairs, as well as move and stack chairs and tables for classroom set-up.
Organizational Status
The Department of OSOT provides the only provincial program for the education of entry-to-practice occupational therapists. Our mission is to create, inspire, and uphold a scholarly community that contributes to the health of individuals and communities through research on occupation and education programs for occupational therapy students, health professionals, and scientists. We aim to further excellence in education and research while upholding a safe, inclusive, high-quality learning environment for students, staff, and faculty. Among our goals is enhancing our relationship with the community of alumni and occupational therapists who are central to our mission, and the public with whom we work.
This position will report to OSOT’s Administrative Manager.
Work Performed
Daily organization of teaching spaces for the Master of Occupational Therapy program at UBC’s Point Grey Campus including: set up spaces, tear-down and tidying, and maintenance of equipment in clinical teaching spaces.
Provides operational, instructional and technological support during class time: responds to and resolves issues in teaching spaces that arise with little or no notice, assists faculty and external instructors (some of whom are unfamiliar with UBC) in a prompt, helpful and courteous manner.
Acts as the central point of contact for classroom support staff, course coordinators, lecturers, instructors regarding the collection of equipment and curriculum materials as well as any changes or updates to equipment lists as required. Ensures requests meet established policies, procedures and suggests alternatives where possible.
Liaises with the IT Administrator and MedIT when appropriate to resolve videoconferencing issues in teaching spaces and meeting rooms.
Attends all MOT computer-based written exams to assist in troubleshooting any student issues: including providing additional laptops, password/login issues, liaising with IT Administrator to resolve technical issues.
Supports the delivery of Practical Exams and the annual Admissions Interviews through set-up and take down of meetings rooms.
Maintains clinical teaching equipment such as wheelchairs and lifts.
Organizes and monitors equipment inventory and ensures new or replacement items are ordered in a timely manner. Submits purchasing requests and tracks expenses under supervision and approval of the Administrative Manager.
Maintains storage areas (rooms & cupboards) for teaching and exam equipment.
Ensures storage areas are tidy, well organized and equipment is accessible and easily found by instructors.
Ensures equipment and curricular materials are substantially equivalent for all scheduled sessions at all MOT sites. Ensures any updates or changes are communicated to all sites in a timely manner.
Receives equipment lists and teaching space requirements from course coordinators, faculty and external instructors and ensures those requirements are met.
Supports the planning and preparation of all MOT Program events, including interviews, practical exams, Capstone Conference, Orientation Week, Induction Ceremony and graduation social event as directed by the Administrative Manager.
Assists with routine Canvas duties as requested by faculty such as: course migrations (moving course data and updating course dates).
Assists faculty in delivery of virtual classes (attends classes to monitor technology, monitor chat box, and assist with small group management).
Assists with creating digital teaching objects, such as setting up audio-visual equipment for pre-recorded session, assists with video editing and uploading teaching objects to Canvas or other appropriate Learning Management System.
COVID-19 responsibilities: cleans equipment and class surfaces; facilitates student movement throughout the building; be a “runner” for equipment during face to face instruction.
Attends course and team meetings and other related meetings as appropriate.
Performs other duties as required.
Consequence of Error/Judgement
Errors in judgment and communication will seriously impact the reputation of the Department and its educational programs. These programs relies heavily on accurate space set up and functional equipment, room bookings, and learning management software. Errors could negatively impact students and instructors to teach and learn to the best of their abilities.
Supervision Received
The incumbent will report to OSOT’s Administrative Manager and liaise with OSOT’s IT Administrator, UBC IT Services, the LT Hub and Faculty of Medicine MedIT as appropriate. The incumbent will work in a team environment and collaborate with faculty, clinical faculty, external instructors, staff, students, custodial personnel, the public, and vendors.
Supervision Given
The incumbent will not provide any supervision.
Minimum Qualifications
High School graduation, plus one year of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.
Preferred Qualifications
Customer service skills and awareness of cultural sensitivities. Enthusiastic, organized, and responsible – the ideal candidate is able to adapt to working with the different personalities of those who work in the Department and external instructors in order to best accommodate to their needs. Relevant experience includes a demonstrated high level of customer service excellence, some familiarity with audio-visual hardware and software, and experience working with MS Office such as Excel and Word.
Previous experience working with educational professionals and community volunteers, or employment in a College or University will be an asset. Knowledge and experience supporting audio-visual hardware and software procedures and practices. First Aid/CPR certification would also be an asset. Physical ability to perform the duties of the job. (e.g., lifting, standing, working at heights, operating patient lifts).
