The Department of Computer Science is seeking a Student Support Officer to provide high quality, authoritative and compassionate support to our undergraduate and postgraduate student community. This role is student-facing and requires well-developed communication and interpersonal skills, ideally gained in an education setting.
This is an exciting time to be joining the department as we expand our Taught Programmes Team to increase support for the delivery of outstanding teaching and learning for all students.
You will be an experienced administrator able to manage complex casework and handle sensitive situations and information with professionalism, confidentiality, and discretion. Working closely with the department’s Senior Tutors, the Student Support Officer will lead on all aspects of mitigating circumstances administration and student monitoring reporting. With responsibility for managing student engagement across curricular and extracurricular activity, you will have excellent organisational skills to manage a varied workload, including that of your direct report to meet departmental objectives.

Job Description
JOB PURPOSE
To work as part of the Department’s Student Support Team, undertaking a lead role in the development and delivery of pastoral and study-related support to undergraduate, postgraduate and visiting students, promoting student wellbeing, engagement with the teaching and learning experience, and facilitating the fulfilment of academic potential.
DUTIES & RESPONSIBILITIES
1. Student Pastoral Support and Progression Strategy
(a) Work with the Senior Tutors, Director of Student Experience and the Taught Programmes Manager undertaking a lead role in the development and delivery of the Department’s strategic plan for student wellbeing and progression.
(b) Analyse a range of student welfare and progression data to identify concerns at an early stage. Ascertain appropriate strategies to implement and thereby enable students to continue with their studies and reach their full potential. Report and make recommendations to the Taught Programmes Manager and Academic Directors to inform decision making and strategy development.
(c) Act as a key member of the Student Support Team, advising and briefing senior colleagues on student welfare issues. Lead on new initiatives, managing the prioritisation of activities and implementation of key improvement projects. Play a key role in contributing towards new initiatives to better identify and address student academic progression trends.
(d) Develop a strategy for supporting students from a disadvantaged background across the student lifecycle (who are likely to have received contextualised offers) enabling them to progress and enjoy the university experience. Work with marketing and recruitment in the planning of Offer Holder Open Days hosted by the department to support student engagement from disadvantaged backgrounds
(e) Act as the intermediary between the Department and other departments/the Faculty/University in matters relating to student welfare. Represent the Department at a senior level, both within and beyond the University.
(f) Ensure that the Department’s strategy for academic and pastoral support embodies the University’s policy on diversity and inclusivity, taking into account the needs of all groups of students, and with a focus on removing barriers to widening participation in an education in computer science.
2. Advice and Support
a) Act as the first point of contact to provide pastoral and study-related advice and support to all undergraduate, postgraduate and visiting students within the Department of Computer Science, and including those students on study placements in industry and abroad.
b) Provide advice and support to students experiencing difficulties. Use the information gained to identify and discuss next steps, refer the student to appropriate services as required (e.g. Wellbeing Support Services, Taught Programmes Manager, Personal/Senior Tutor, counselling services etc.) and subsequent liaison between support services and the Department. Exercise judgment in escalating serious cases of student wellbeing to senior colleagues.
c) Liaise with temporarily withdrawn and resit students to manage their return to Warwick. Work with the Senior Tutors to develop and introduce a systematic process to facilitate a smooth individualised plan of return for each (TWD) student.
d) Collaborate with other departments to support students on joint degrees where there may be challenges for vulnerable students navigating differing process, procedure and systems.
e) Maintain an up-to-date knowledge and understanding of the University’s support services, policies, procedures and best practice, and to advise and train colleagues on these as appropriate. Act as a source of expertise and Department authority on matters relating to student wellbeing.
f) Support the Student Engagement and Experience Coordinator in developing a range of communications for staff and students on student wellbeing, including newsletter items, handbooks and web pages.
g) Support Senior Tutors with management of student casework including drafting and monitoring action plans and scheduling follow-ups.
3. Operations
a) Support Academic Directors in delivering the Personal Tutor system, in-line with the University’s expectations of the Personal Tutor arrangements and working towards a greater consistency of provision of support across the system. Working alongside senior colleagues in organising the training for Personal Tutors, overseeing the allocation of Personal Tutors to students, and completing the annual Personal Tutor system report for the Dean of Students.
b) Develop and maintain recording processes and systems to collate information on student welfare and progression (academic marks, support and feedback class attendance, missed monitoring points, extension requests, mitigating circumstances) ensuring compliance with data protection regulations.
c) In liaison with the Senior Tutors grant or refuse requests for extensions for assessed work or exemptions from tests based on evidence provided and predefined criteria.
d) Liaise with other departments to waive/reduce late penalties for DCS students studying non-DCS modules and coordinate waiving/reduction in late penalties for non-DCS students studying DCS modules.
e) Manage communication with students regarding extensions, self-certification and outcomes of Mitigating Circumstances panels.
f) Coordinate deferral of examinations with the Exams Office and Student Records teams for temporary withdrawal or resitting without residence candidates.
g) Lead on the preparation of complete and accurate mitigating circumstances information for examination boards. Act as Secretary to the pre-mitigation and mitigation meetings and Review of Decisions meetings, including attendance at UG and PGT examination boards.
h) Monitoring points – to ensure that policies and systems are in place to capture monitoring points for all students at UG and PGT levels; to report monitoring point compliance and non-compliance to the University and liaise with the Immigration and Compliance team as and when necessary.
4. Staff Management
a) Line management responsibility for the Student Engagement and Experience Coordinator, including: recruitment and selection; setting and monitoring work tasks and objectives; annual reviews; training, coaching and mentoring; performance management; and the management of annual leave and sick leave.
5. General
a) Deputise for the Taught Programmes Manager or Director of Student Experience as and when required.
b) Any other duties commensurate to the grade, as may be advised by the Head of Administration or the Taught Programmes Manager.
