I’m one of the top marketing consultants and advertising writers in the country. My ads have sold over $500 million worth of products and have won numerous industry awards. And my marketing strategies have grown companies by as much as sixteen-fold.

I’m constantly coming up with new ideas to make my clients and my students more successful. But I can’t do it alone. I’m disorganized, easily distracted (ADD), and constantly forgetting things. I’m also weak at following up with people. So I need help in order to be as efficient and effective as possible.

In short, I need a combination executive assistant, personal assistant, office manager, and chief bottle washer.

Personal / Executive Assistant Essential functions include:

Planning and organizing

• Be project manager and help me prioritize my projects and schedule the work flow

• Schedule my business meetings, phone calls, and personal appointments

• Keep me on track when I get distracted and remind me of my tasks and appointments

• Help me stay in touch with people through some kind of tickler system.

• Be my sounding board for: various business ideas, advertising copy, what to get people for birthdays and holidays, etc.

Office

• Improve existing office filing systems for efficiency

• Answer phones, check for texts and take messages

• Check/respond to/archive/file/delete e-mails and snail mail

• Let me know which items I need to respond to personally

• Edit audio and video recordings and post to YouTube and Facebook

• Create and/or modify Powerpoint presentations

• Order office supplies.

• Fix or get fixed anything in the office that isn’t working

Technical stuff

• Sync up phone and computers

• Secure access to all my passwords and account info and use them to perform tasks

Travel

• Make travel arrangements: air, hotel, train, car rental

• Find good restaurants in other cities

• Event-planning: find venues, catering, handle logistics

Personal tasks

• Order things like nutritional supplements, prescription refills and books, pick up dry cleaning, take my car to the car wash/mechanic

• Help with my online dating

• Personal shopping excursions

• Some food prep like chopping vegetables, heating meals

Housekeeping tasks

• Load/unload the dishwasher

• Help keep common work areas neat

• Periodically vacuum the filters in the air cleaners

• Purge/get rid of stuff we don’t need

Bookkeeping (a bonus if you can do this)

• Bookkeeping entries in Quickbooks

• Weekly payroll and withholding

• Pay all the bills (business and personal)

• Make bank deposits

• Keep track of personal spending in personal Quickbooks account

• Reconcile checkbooks with bank statements online

• Weekly cash flow projection reports in Excel

• Monthly P&L year-to-date comparison report

• Monthly expense reports, write reimbursement checks, code in Quickbooks

• Monthly update of net worth statement in Excel

• Set aside for taxes anytime I’m paid a shareholder distribution

• Prepare W2s, 1099s and quarterly 941 forms

• File and pay quarterly estimated taxes

• Meet with accountant to give her all the tax receipts at tax time

• File paid and future bills

• Keep track of royalties
