What’s it all about?

This role will provide administrative, coordination and operational support to two senior leaders in Visa Europe. You will provide support to manage their diaries, their travel arrangements, their expenses and coordinate external client visits to the Paddington office. You will also be required to provide some level of support to their teams and the Vice Presidents in their organizations. They are a dynamic group and you will be asked to be proactive identify opportunities to add value to their teams and general organization. Given the nature of the work, to be successful, you will be building relationships with different areas and people.

What we expect of you, day to day.

Supporting the two leaders:

• Work closely with the two leaders, providing support as required in terms of day to day management of the business.
• Provide email and diary management, proactively anticipating needs to better manage diary conflicts.
• Organize travel arrangements plus travel reconciliation for the two leaders
• Support the Vice Presidents in their organization on their travel bookings and expenses (2 at the moment)
• Coordinate and manage external client visits to Paddington office, required by them or members of their team.

Support to their teams:

• Coordinate team meetings, including room bookings and agenda coordination
• Birthdays and special events reminders
• Assist the department through performing administrative duties, acting as a resource to the department with respect to administrative inquiries or problems.
• Coordinate agenda for account reviews on behalf of the Sales Excellence team, involving scheduling of around 45 sessions twice a year.

What we’re after

• An experienced personal assistant, with at least 6 years of experience
• Outstanding organizational skills and strong multi-tasking skills
• Excellent communication skills, both written and verbal
• Proactive and able to effectively priorities
• Problem solving mindset and ability to negotiate trade offs to achieve the best results for everyone
• Experience working within an international company
• Experienced in dealing with and working alongside Senior Leadership / Executives
• Excellent working knowledge of various Microsoft packages such as PowerPoint, Teams, One Drive, Excel and Word
• Confident liaising with internal and external stakeholders/visitors in a warm and professional manner

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office two days a week, Tuesdays and Wednesdays with a general guidepost of being in the office 50% of the time based on business needs.
