Construction Site Administrator

We are currently accepting applications for a Site Administrator for a construction project in Kelowna, BC. The successful candidate will be an experienced administrator who works in collaboration with the Site Superintendent and Project Management team to organize and support a broad range of administrative, receiving, safety and quality control activities. They oversee daily trade meetings and support the delivery of safety, quality and staff employment related activities for the site. There is also a requirement to be outside of the office on site assisting with inspections. This position is the first point of contact for sub-trades, new staff, visitors, and shipping and receiving.

Responsibilities

• ·Work collaboratively with the Site Superintendent and Project Manager to understand the project schedule and 6-week look ahead in order to anticipate and coordinate site activities related to receiving, safety, and quality control, overseeing all associated paperwork;
• ·Build and maintain collaborative, respectful relationships with all staff, subtrades, suppliers, clients, and municipal staff who you engage with during the course of project construction;
• Act as a safety champion coordinating all site safety program activities, this includes ensuring all regular SalusPro reporting is completed and submitted on time, as well as sharing first aid responsibilities with the other safety reps on site;
• Act as site liaison with WorkSafe BC representatives and ensure contact information is current;
• Support the Quality Control program through all project phases, which consists of printing, inputting data and maintaining information related to QA/QC reviews and non-conformance reports;
• Collaborate with the Site Superintendent to coordinate all delivery activity on site, planning to avoid congestion and any delivery conflicts to ensure timely receiving of materials, goods and supplies;
• Act as the primary receiver for site, as per WestUrban’s Standard Operating Procedures (SOP), this includes receiving, inspecting, documenting and reporting quantity and/or quality variances, not accepting incorrect and/or damaged goods and signing off on shipments;
• Manage documentation and process related to product warranties, returns, repairs and replacements;
• Maintain effective document management systems and secure all records according to regulatory and company requirements;
• Ensure all necessary documentation is provided to head office in a timely manner (i.e. packing slips, weigh bills, timecards, update reports);
• Perform site reception and orientation for workers, trades and visitors on site for the first time;
• Attend site meetings and record meeting minutes as required;
• Collect employee timesheets and review for completion prior to Superintendent signoff; monitor and report overtime trends to enable site scheduling practices that minimize this need;
• Monitor all WestUrban supplied equipment rentals and usage, to ensure preventative maintenance requirements are being completed, operators are qualified, damage reports are recorded and reported, and that rentals are used efficiently and returned as soon as possible;
• Other tasks as assigned.

Qualifications

• A minimum of 2 years of experience in an office administration position is required;
• A minimum of 1 year of experience on a multi-family residential construction site is preferred;
• A level of education or training equal to a diploma or certificate in Office Administration is an asset;
• Strong computer skills including intermediate to advanced knowledge of MS Office and Excel;
• First Aid Certification, preferably level 2, is a strong asset;
• Self-motivated with a positive attitude and a results-oriented approach;
• Clear and effective written and verbal communication skills;
• Attention to detail with the ability to perform work with a high degree of accuracy;
• Strong prioritization skills with the ability to meet deadlines and take responsibility for your work;
• Strong interpersonal skills with ability to build positive relationships and to work well in a team environment;
• A high degree of professionalism and ability to maintain confidentiality.
